About The Position

Reporting to the Senior Curator & Department Head, the Curatorial Administrator assists with annual, quarterly, and weekly administrative duties, and aspects of curatorial work, including acquisitions, exhibitions, publications, collections management, and donor cultivation. Provides assistance to other Costume and Textiles curatorial staff as assigned by the Department Head.

Requirements

  • Bachelor’s degree in Art History or related field
  • Excellent knowledge of Microsoft Word and Google Suite
  • Demonstrated ability to organize, prioritize, and handle multiple tasks to meet established deadlines
  • Exercise sound judgment and decision-making, and have a demonstrated ability to handle confidential or sensitive information
  • Public relations skills

Nice To Haves

  • Minimum 1 year of previous experience in a gallery, research, or museum setting preferred
  • Experience with The Museum System (TMS) preferred

Responsibilities

  • Preparation and management of the department's budget. Processes and approves invoice requests, requisitions, and other financial documents
  • Estimates travel budgets and submits travel requests through the museum’s budgetary protocol
  • Monitors research inquiries pertaining to the permanent collection and Doris Stein Research Center for the Study of Costume and Dress (DSC) archives, and coordinates appropriate response/action with curatorial and collections management staff
  • Prepares and updates agendas for weekly department staff meetings and quarterly project meetings with Conservation and Collection Management
  • Compiles statistical reports for project planning and budgeting, and maintains a history of the department
  • Prepares professional services agreements for consultants and visiting scholars
  • Coordinates logistics of acquisitions, including liaising with donors and vendors, the museum’s registrar, creating TMS entries, and completing all required registrarial forms
  • Maintains the department’s image database on ODIN and TMS
  • Creates necessary work orders for the movement of collection (for photography, conservation, display, etc.)
  • Maintains collection files (paper and electronic)
  • Collaborates with colleagues in other support departments to facilitate donor events, curator-led tours, and symposia by facilitating work orders and other necessary logistics
  • In collaboration with curators and other colleagues, coordinates special events such as the department’s triennial symposia, establishes and manages the budget, issues professional services and/or speaker agreements, and work orders to facilitate the program
  • Coordinates the interview and orientation process for paid interns
  • Special projects as requested by the Department Head
