Wage: $18.00 - $21.00 per hour Venue Description : The award-winning Orange County Convention Center, located in the heart of Central Florida and only fifteen minutes from the Orlando International Airport, provides a multitude of event options in two beautiful buildings - the West and North/South. With new entertainment and accommodation options changing the landscape, this is a time of great transformation for the OCCC and our surrounding Convention Center District. Nearly $1 billion has been infused into the district, creating a renaissance of tremendous growth and reinvestment. The Center is consistently rated a top-tier convention center with incredible spaces, including the remodeled multipurpose Tangerine Ballroom, the Sunburst room and terrace along with the all-new Honeybell and Hamlin boardrooms. Principal Function : The Culinary and Stewarding Administrative Assistant provides comprehensive administrative support to the Culinary and Stewarding departments. This role is responsible for coordinating BEO distribution, temporary labor orders, scheduling support, employee requests, and interdepartmental communication to ensure smooth daily operations and successful event execution.

Requirements

  • High school diploma; some college and/or an equivalent combination of education and relevant work experience.
  • Minimum of one (1) year of administrative experience.
  • Ability to work independently with sound judgment, initiative, and problem-solving skills.
  • Excellent communication skills and ability to interpret and share information accurately.
  • Strong customer service skills.
  • Basic knowledge of Microsoft Office Suite.
  • Ability to lift up to 50 pounds on a regular basis.
  • Ability to work in extreme cold, heat, wet, or humid conditions.
  • Flexibility to work extended or irregular hours, including nights, weekends, and holidays.
  • Ability to stand for prolonged periods and perform repetitive motions.
  • Ability to walk approximately one-quarter (¼) mile multiple times per day.
  • Ability to stoop, kneel, crouch, reach, and use hands for handling and fine motor tasks.
  • Must wear non-skid shoes at all times.
  • Ability to work in moderate to high noise environments.

Responsibilities

  • Check the mailbox multiple times daily to retrieve BEOs.
  • Distribute, f ile and maintain BEOs, ensuring they are updated at least one week in advance.
  • Print event reports and verify that no BEOs are missing.
  • Update the attendance log/book and e mail managers daily with employee call-outs .
  • Create purchase orders (POs) for temporary labor in accordance with the approved budget.
  • Place temp labor orders with agencies and distribute them accordingly.
  • Maintain updated orders and notify agencies of any pop-ups or revisions.
  • Run weekly reports, showing available shifts per department.
  • Type and post schedules every Thursday by noon.
  • Print and distribute sign-in/out sheets and lunch logs to the North and West Buildings.
  • Assist employees with vacation requests, days-off requests, and paystub printing.
  • Prepare and submit employee expense reports to Corporate when .
  • Place monthly office supply orders.
  • Create and submit work orders related to equipment or building needs.
  • Take photos of the food tastings and p rint photo sets for each department during live events.
  • Provide requested information to Human Resources.
  • Supply Accounting with details regarding chef attendants and food costs for special events .
  • Provide Banquets with menu flavors and dietary information for signage creation.
  • Provide Sales with menu and pricing information.
  • Type all pre-planning show forms, including temp logs, areas of responsibility, color codes, and production/distribution summaries.
