About The Position

The Credit Representative is responsible for the CreditApp Inbox and entering accounts in IMS & QuickBooks. This position is expected to have good Customer Service acumen, Data Entry and the ability to communicate in a pleasant, helpful and courteous manner. This position is expected to evolve over time as the company grows and business needs change.

Requirements

  • Strong data entry skills with a high level of accuracy and attention to detail
  • Proficient in QuickBooks.
  • Prior experience with accounts receivable, and collections required
  • EXCEPTIONAL organization, time-management, and planning skills
  • Energetic and confident in engaging with business owners and staff
  • Very strong interpersonal communication skills
  • Good mathematical skills with experience using Microsoft Office software with an emphasis on Outlook and Excel.
  • High school diploma or equivalent required.

Nice To Haves

  • Syspro Knowledge is a plus.
  • Bilingual (English/Spanish) a plus.
  • Bachelor’s degree preferred.

Responsibilities

  • Monitor and act on incoming emails and resolve any same-day requests.
  • Enter new marketing and / or customers into IMS and QuickBooks as required.
  • Communicate with Sales, Branch Managers, Accounts Receivable and others regarding account setups, documentation requirements, and credit-related inquiries.
  • Ensure that permission is granted on updates to Customer and / or Marketing accounts.
  • Provide support to the Accounts Receivable team as needed
  • Keep CreditApp inbox organized and ensure anyone can go in and find what is needed on the team.
  • Save all documentation as per procedures provided in multiple locations on the system.
  • Maintain communication with other departments/offices/salespersons to address areas for improvement. Serve as a reliable point of contact to support accurate and timely information flow.
  • Proactively recommend solutions and assist with implementing changes. Nurture, build and maintain trusting, ethical and collaborative relationships across the organization.
  • Ensure a high level of accuracy in all data entry within IMS, QuickBooks, and related systems, minimizing errors and maintaining data integrity.
  • Ensure all required credit documentation is complete, accurate, and properly filed in the appropriate folders within the credit inbox and public account drive for easy retrieval.
  • Adhere to established turnaround times and service-level expectations for credit-related requests.
