As our Firm Operations and Administrative Manager, you'll enjoy: Work-Life Balance: Maintain a healthy work-life balance with a consistent 40-hour workweek, even during tax season. This role will require nearly 100% in office due to the nature of its duties.

Requirements

  • 3+ years in a Administrative, operations, and or/project management role. Helpful if within a professional services firm (accounting, law, engineering, architect)
  • Hands-on experience implementing/administering project/practice-management tools. Experience administering modern practice/workflow management platforms. Proficient with cloud-based email, chat, and document collaboration suites.
  • Highly organized, detail-oriented. Ability to create clear documentation, quick-start guides, and training materials to drive tool/process adoption.
  • Comfortable prioritizing amid shifting needs, client requests and deadlines

  • Directly with accounting, audit, or tax professional service firms
  • Must have a take-charge, get-things-done attitude
  • Use of tools such as TaxDome, KarbonHQ, FinancialCents, Canopy, Zapier, Make, Power Automate, Calendly, Sage 50, QBO, Proposal/Billing Softwares

Responsibilities

  • Maintain and Develop SOPs for both internal processes and ensure timely communication with clients via practice management system as their work progresses.
  • Assist in billing, proposal creation, invoice, and collections to ensure proper completion and continued success of the Firm's finances.
  • Administer and optimize workflow/task management in the firm's practice management system; evaluate and help implement complementary practice management tools. Map the internal tech stack, identify gaps and redundancies, and drive process documentation and SOPs
  • Lead internal communications for assigned initiatives. Lead and plan internal event logistics including holiday parties, client events, luncheons, and Firm retreats.Coordinate employee onboard and offboard processes. and facilitate change adoption and training across the team.
  • Manage services with janitorial, utilities, and access controls Manage office supplies and equipment
  • Maintain and roll-out firm policies. Assist with the annual updates of the employee handbook
  • Oversee inflow of client documents and kick off of client projects and monitoring to ensure timely completion. Ensure client documents and completed returns are delivered to client upon completion. Review and oversee assignments and work is properly and evenly delegated across our tax department. Ensure processes are maintained and followed by all staff.
  • Review and assist with client intake and onboarding to ensure client is ready and prepared for project assignment. Assist with employee onboarding and training in firm policies and procedures, project management and firm management software.
  • Assist with hiring of new employees through posting jobs, assisting with scheduling interview and interviewing candidates for personality and cultural fit.
  • Ensure clients receive a white glove high leave of service during onboarding process and manage until project has been assigned to staff. Oversee inbound client inquiries and assist with gathering initial items in order to be assessed by our tax leaders
