The Josephine County Circuit Court in Grants Pass, Oregon, is hiring a Probate/Stalking/Civil Commitment Clerk (Court Operations Associate). In this role, you will process documents related to probate, protective proceedings, and stalking cases. You will review files for accuracy and completeness, perform data entry, and process judgments and orders. You will scan documents into the electronic case management system. You will prepare a variety of reports. You will assign cases to judges and schedule hearings. You will process payments and maintain a cash drawer. You will also accept Notice of Mental Illness documents, arrange for court appointed counsel and examiners as needed, coordinate civil commitment hearings, and prepare and route documents related to civil commitments and diversions. You will help customers at the service counter with civil cases such as landlord/tenant matters, name changes, stalking petitions, general and simple estate affidavits, and small claims filings. You will help attorneys, litigants, agencies, and the public by answering questions in person, over the telephone, and in writing. You will spend part of your time providing coverage for other court staff as needed. Assigned tasks may be changed to accommodate workload and organizational needs.

Requirements

  • High school diploma or equivalent.
  • At least three (3) or more years of responsible experience in a moderately complex office or business setting involving the processing of financial, administrative, or legal documents.
  • OR Any combination of education and experience equivalent to three (3) years of experience that typically supports the knowledge, skills, and abilities for the position.
  • Experience performing a variety of clerical or administrative support tasks with strict deadlines in a busy business or professional setting.
  • Experience using a computer and different applications to accomplish a variety of tasks that involve data entry, looking up accounts or cases, scheduling events in electronic calendars, and updating information.
  • Experience providing customer service to a variety of individuals in challenging circumstances.
  • Experience explaining processes, procedures, or policies on behalf of an employer.
  • Experience reviewing documents for accuracy and completeness.

Responsibilities
