About The Position

The Court Clerk III performs independent, court specific, clerical/technical work facilitating information, procedures and policies enforced by the courts; prepares legal documents, manages files and interacts with defendants, general public, and others as it relates to judicial processes and procedure. The Court Clerk III performs customer service, data entry, file maintenance, quality control and ensures compliance with court policies, practices, rules of procedure, state statutes and city ordinances to support the operations of the Court Services division in the Aurora Municipal Court. This position reports to the Court Financial Supervisor or Court Supervisor.

Requirements

  • An equivalent combination of education, training, and experience that demonstrates required knowledge, skills, and abilities may be considered.
  • Education: High School Diploma or GED
  • Experience: At least three (3) years of clerical and filing experience, including dealing with the public and handling telephone calls
  • At least three (3) years of heavy cash handling experience
  • Knowledge: Proficiency in Microsoft Office Products
  • Knowledge of business English and math
  • Modern office practices and procedures
  • Advanced understanding of court proceedings and city ordinances
  • Advanced understanding of court and legal terminology
  • Confidentiality requirements regarding court records documents
  • Skills: Strong interpersonal and managerial skills
  • Skill in the use of windows-based programs
  • Strong customer service skills
  • Skill in checking information for accuracy and completeness and correcting errors
  • Critical thinking skills
  • Abilities: Establish and maintain effective working relationships with employees, all levels of management including executive staff, citizens, and elected officials

  • Licenses and Certifications Required: Criminal Justice Information Systems (CJIS) certification required within six (6) months of hire
  • NCIC / CCIC Certification may be required

Nice To Haves

  • Court or law enforcement background preferred
  • At least twelve (12) months of court experience

Responsibilities

  • Provides excellent customer service and general information concerning the court to the public. May include interaction with Prosecution, Defendants, Witnesses, Jurors, and Defense Counsel
  • Maintains court record-keeping systems and data integrity that includes heavy data entry input, updating and filing of records and documents
  • Processes incoming juvenile and adult municipal and traffic filings, including new violations
  • Schedules upcoming court hearings in accordance with the court’s policies and procedures
  • Reviews and evaluates legal documents, forms, applications, and other information to determine accuracy, completeness, acceptability, or compliance to judicial rules, city ordinances, policies, and procedures
  • Provides heavy customer assistance including answering questions by phone, email, text messaging, and in person, directing inquiries to appropriate departments, and operates a variety of office equipment and personal computers
  • Explains and provides general information on judicial processes and procedures to court personnel, attorneys, law enforcement agencies, and the general public in person, by telephone, by text messaging, and via email
  • Receives, processes, and deposits a heavy volume of fines, fees, and related court/filing payments
  • Balances daily cash drawer, prepares daily closeout for register and completes all required reports related to receipting of fines, costs and payments received
  • Confirms all judicial orders are entered including warrant cancellations and Personal Recognizance bonds. Fines, costs, restitution amounts are verified for accuracy
  • Files are closed in accordance with Court Services procedures and Judicial orders
  • Written and oral communication with area agencies, the municipal judge, prosecuting attorney, court-appointed counsel, and various legal professionals.
  • Written and oral communication with clients and the public
  • Utilizes document imaging for case files
  • Ensures legal requirements are met; maintains data integrity of case information by performing quality control and audit functions; and maintains security or confidentiality of records
  • Maintains court records; certifies and seals court documents; coordinates and purges case files
  • Assists in the development of training plans and trains employees
  • Performs varied and complex clerical work of a highly responsible nature under limited supervision
  • May handle CJIS related information
  • Performs other related duties as assigned
