About The Position

The Cost Accounting Coordinator is responsible for tracking, analyzing, and reporting job and service costs to ensure accurate margins and support profitable growth in an HVAC service environment. The role works closely with service managers, dispatch, technicians, billing, accounts payable and the accounting team to ensure that labor, materials, subcontractors, and overhead are correctly captured to each work order, project, and maintenance contract.

Requirements

  • Associate’s degree in Accounting, Finance, Business, or related field required; Bachelor’s degree preferred.
  • Experience with job-costing or construction/service accounting software (e.g., Jonas, Viewpoint, ServiceTitan, Spectrum, QuickBooks with job cost, or similar).
  • Strong proficiency in Excel (lookups, pivots, and basic analysis) and familiarity with other MS Office tools.
  • Understanding of basic GAAP principles related to revenue recognition, WIP, and cost of goods sold in a job-cost environment.
  • Strong attention to detail and accuracy in data entry and reconciliation.
  • Solid analytical skills; ability to interpret job cost reports and explain variances.
  • Clear, professional communication skills, both written and verbal.
  • Ability to work collaboratively with service managers, dispatch, warehouse, and technicians.
  • Strong organizational skills with the ability to manage multiple deadlines and priorities.
  • Problem-solving mindset with willingness to dig into job and system details to resolve issues.

Responsibilities

  • Maintain jobs/work orders in the ERP, ensuring correct costs are recorded on each job.
  • Post labor hours weekly based on timecards from Field Service.
  • Monitor work-in-process (WIP) and job cost reports; identify and research unusual variances or negative margins and communicate findings to service/operations managers.
  • Prepare monthly report for review of cost posting on jobs to ensure appropriate revenue and cost recognition.
  • Prepare weekly reports for sales and operations managers detailing WIP and utilization costs.
  • Assist with setting up burden labor rates for service and installation, in coordination with management.
  • Coordinate moving costs to and between jobs and work orders as needed.
  • Support the invoicing process by verifying that all billable labor, materials, and other charges are included.
  • Set up new contract/project jobs in VP and create all required cost phase cods.
  • Update jobs as needed for change orders.
  • Review all billing and costs are complete on jobs and then final close them.
  • Apply Warranty costs to contract jobs.
  • Assist with outstanding PCard issues ensuring that costs are hitting work orders and projects timely
  • Support internal and external audits with job cost and revenue recognition documentation.
  • Recommend process improvements to reduce cost leakage (unbilled time/materials, miscoding, etc.) and improve accuracy and efficiency of job costing.
