The Parts Coordinator plays a critical role in supporting our team by receiving and managing inventory levels, processing job cards, and ensuring the accurate and timely handling of parts requests and warranty claims for multiple locations. Maintains current and accurate records in the vehicle maintenance system for all company vehicles. Arrow Stage Lines is the premier charter bus company in America. Maintains current and accurate records in the vehicle maintenance system for all company vehicles. This position supports multiple Arrow Stage Lines’ locations.

Requirements

  • High School education or equivalent
  • One year of parts experience is highly preferred
  • One year of warranty experience is preferred
  • Strong focus on customer service with inside and outside customers and vendors
  • Knowledge of warranty administration
  • Strong attention to detail
  • Possess a valid driver’s license
  • Ability to operate a forklift and obtain certification
  • Ability to type 30 wpm
  • Ability to correctly enter data into vehicle maintenance system
  • Ability to lift at least 70 lbs. and ability to climb stairs
  • Ability to perform work accurately, timely and in a safe manner
  • Able to meet commitments and deadlines
  • Able to complete required documentation and reports in an accurate and timely manner.
  • Ability to act calmly under stress and to handle multiple projects under pressure
  • Ability to work independently with minimal supervision
  • Strong time management skills and ability to utilize the available time to organize and complete work within given deadlines, while efficiently prioritizing, and performing multiple tasks simultaneously
  • Strong written and verbal communication skills.  Must possess excellent interpersonal skills and act in a professional manner at all times
  • Demonstrates openness to new procedures, technology and structure.
  • Must be able to work effectively in a team environment and support company processes and systems.
  • Ability to read, write and perform basic math functions

Responsibilities

  • Opening job cards in an accurate and timely manner in VMS, confirming required parts are on the job cards, and ensuring job cards are completed in an efficient and complete manner
  • Creates accurate parts requests for assigned region and submits to the Corporate Parts Manager (with a copy to the Regional Shop Manager) in a timely manner
  • Ensuring warranty job cards are opened, properly completed (three “C’s” are documented, Complaint, Cause, and Correction) and sent to the Corporate Parts Manager in a timely manner
  • Responsible for accurate and timely bin count, receiving and stocking parts in an accurate and orderly manner in their proper location, and completing inventory and weekly cycle counts
  • Provides excellent customer service to internal and external customers in a professional manner, at all times
  • Adheres to Parts, Inventory, and Warranty procedures
  • Completes required training as requested online or in person in a timely manner
  • Travels to local parts vendors to pick up parts
  • Coordinates and matches purchase orders with invoices to be processed for payment
  • Maintains organization and cleanliness of parts areas
  • Complies with company scheduled hours
  • Works in excess of normal working hours as workloads and seasonal activities are encountered
  • Complies with company and safety policies and procedures, to include wearing steel toed boots/shoes.
