About The Position

Join our team at Hytrol Conveyor Company, a leading conveyor manufacturer, where you can enjoy competitive benefits and a family atmosphere. We are currently seeking a Corporate Event Planner at our Jonesboro location. The Corporate Event Planner plays a crucial role in organizing a wide range of events that are internally and externally focused. These events serve to strengthen employee engagement, contribute to a positive community image, and enhance Hytrol’s business relationships. Events include, but are not limited to: Employee founder celebration (annual), Employee Christmas party (annual), Trade shows (as needed), Employee appreciation events (multiple times per year), Integrator events, both on-site and destination (multiple times per year), Local 5k/10k community race, Participation in both Jonesboro and Fort Smith area events (multiple times per year). The Corporate Event Planner also manages the promotional items and merchandise for the company that are, most often, tied to company events. This role involves collaborating with the marketing team, vendors, and other departments to ensure that promotional items align with brand strategy and meet organizational goals.

Requirements

  • Proven experience in event planning or coordination, especially for corporate, partner, and community events
  • Exceptional organizational and multitasking skills
  • Strong interpersonal and communication abilities
  • Creativity, problem-solving skills, and a keen eye for detail
  • Ability to travel as needed
  • Bachelor’s degree or equivalent experience

Nice To Haves

  • 1-3 years of experience in event planning or coordination preferred
  • Experience managing multiple projects simultaneously and meeting deadlines preferred

Responsibilities

  • Collaborate with internal stakeholders and community partners to conceptualize meaningful events that align with company culture, objectives, and community needs
  • Create detailed event timelines, outlining tasks, deadlines, and responsibilities, and ensuring all involved parties are well-informed and aligned
  • Identify suitable venues and coordinate logistics to ensure the chosen location is well-suited for the event
  • Obtain any necessary permits and licenses for events, such as catering and alcohol licenses
  • Select and manage vendors, including caterers, decorators, printers, and audio-visual teams. Negotiate contracts and supervise their work to ensure a seamless event
  • Lead event setup, coordination, and on-site management, addressing any issues or last-minute changes to ensure the success of events
  • Maintain clear and professional communication with employees, partners, and community members throughout the planning process, providing regular updates and addressing any questions or concerns
  • Conduct post-event evaluations and gather feedback from all stakeholders to improve future events and enhance overall satisfaction
  • Develop and manage event and promotional item budgets, ensuring cost-effective solutions while maintaining quality and company standards
  • Collaborate with the marketing team and other departments to conceptualize and create promotional items that align with company events and the brand
  • Monitor inventory of promotional items, ensuring adequate stock for upcoming events and campaigns
