About The Position

The Corporate Communications and Meetings Specialist plans and executes high-impact events and communications for employees, executives, the board, and external partners. This role managers the full event lifecycle - including budgeting, venue sourcing, logistics, vendor coordination, and on-site production - while ensuring each experience reflects the company's brand and strategic goals. Responsibilities include creating event materials, maintaining the corporate event calendar, supporting senior leaders, and driving continuous improvement in event planning processes. Strong project management, communication, creativity, and organizational skills are essential, along with experience in event management, marketing, or communications. Travel and interaction with senior leadership required. The ideal candidate must reside in the Harrisburg, PA area.

Requirements

  • Bachelor's in Communications, Marketing, PR, or related field preferred.
  • Minimum of 3 years in event management and communications/marketing.

  • Excellent communication skills (both oral and written).
  • Use of tact and integrity is required in handling communication with a variety of individuals
  • Proficiency in the Microsoft Office Suite applications, including SharePoint, Teams, Forms, PowerPoint.
  • Strong writing skills for invitations and communications.
  • This position is primarily a sedentary position that requires occasional standing and walking throughout the office environment.
  • Must be able to perform computer-based tasks and access digital information necessary for job duties, including through the use of assistive technologies.
  • Must be able to complete computer-based tasks and utilize office equipment as needed to perform essential job functions.

Responsibilities

  • Manage full event lifecycle (concept to post-event analysis) for corporate meetings and events, included but not limited to President’s Choice Forum, offsite Board of Director meetings, employee events and sales and field events, as requested.
  • Plan and facilitate logistics for all events, including contract negotiations, guest lists, venue preparation, security, catering, entertainment, transportation, equipment, decor and lodging.
  • Oversee client experiences from conception through post-event review; manage on-site preparations, production, and event breakdown (as needed); and ensure consistent, high-level service throughout all phases.
  • Coordinate with internal staff, clients, and vendors to establish the requirements, timing, and budget for an event, and serve as liaison to other relevant stakeholders including senior executives, event sponsors, and others throughout the planning process.
  • Create and evolve, as needed, events planning process from initial request to post-event activities. Measure outcomes and continuously improve with fresh ideas.
  • Locate resources, visit sites, and lead pre-event meetings to help staff make decisions about event design and supporting needs.
  • Write, edit, and design marketing and event collaterals, produce videos/photos, and manage digital assets
  • Build and maintain a comprehensive database of industry contacts, vendors, and venues.
  • Maintains corporate and division-level event schedule and calendar.
  • Troubleshoot any issues that arise throughout the event timeline.
  • Manage event ticket(s) purchasing and allocation.
  • Collaborates with all business units and external partners to use events as a key communication tool to build brand, drive engagement, and achieve organizational goals.
  • Accountable for the financial processes related to event budget preparation and implementation (total budgeted amount, invoice processing, meeting budget expectations, etc.).
  • Understands the mission of the organization.
  • Performs other duties as may be assigned by the Vice President, Corporate Communications.
