The QA Coordinator is responsible for the review, validation, and control of batch records to ensure accuracy, completeness, and compliance with established procedures and regulatory expectations. This role serves as a critical quality checkpoint within the manufacturing process, ensuring that all production documentation meets required standards prior to final release.

Requirements

  • High school diploma or associate degree required
  • Minimum 2–4 years of experience in a manufacturing, quality, or regulated environment
  • Experience reviewing batch records, production documentation, or quality records
  • Strong understanding of Good Documentation Practices (GDP) and documentation accuracy standards
  • Demonstrated ability to identify errors, question inconsistencies, and enforce compliance standards
  • High attention to detail with a disciplined approach to data accuracy and record integrity
  • Ability to manage multiple priorities in a fast-paced production environment
  • Strong communication skills with the ability to work cross-functionally with Operations and Quality teams
  • Proficiency in Microsoft Office and experience working with electronic systems or production records

Nice To Haves

  • Bachelor’s degree in Quality, Engineering, Natural Sciences, or related field
  • Experience in a regulated manufacturing environment (e.g., GMP, FDA, ISO)
  • Prior experience in batch record review, QA review, or quality inspection roles
  • Familiarity with deviation investigations, root cause analysis, and CAPA processes
  • Experience supporting internal and external audits
  • Exposure to electronic batch record systems (EBR) or EDMS platforms
  • Experience identifying trends and contributing to continuous improvement initiatives
  • Prior experience training or coaching employees on documentation standards

Responsibilities

  • Review completed batch records for accuracy, completeness, and compliance with approved procedures and specifications
  • Challenge, question, and escalate discrepancies, missing data, or inconsistencies identified during record review
  • Hold and prevent progression of batch records that do not meet established quality and compliance standards
  • Partner with Operations to resolve documentation errors and ensure timely corrections prior to release
  • Ensure all required fields, signatures, timestamps, and supporting documentation are present and compliant
  • Verify that batch execution aligns with approved SOPs, work instructions, and process requirements
  • Maintain clear and accurate review documentation and audit trails for all batch record evaluations
  • Identify and escalate trends in documentation errors to support root cause analysis and CAPA activities
  • Support internal and external audits by providing batch record documentation and review evidence
  • Collaborate with Document Control to ensure current and approved forms/templates are being utilized
  • Reinforce adherence to Good Documentation Practices (GDP) across operations
  • Assist in training employees on batch record completion standards and documentation expectations
