About The Position

The Coordinator, Programs and Partnerships will advance core projects that support the strategic theme of “Connecting Audiences” within the National Park Foundation's (NPF) Programs and Partnerships (PnP) department. This position primarily supports youth/family education, engagement, and recreation programs that directly align with the National Park Service and its partners to accomplish their priorities. This position will assist with a diverse portfolio of programs as well as support critical activities that cut across the department more broadly. This involves coordinating the operational aspects of the grant-making process and ensuring high standards for grant management. Duties will include undertaking extensive administrative and program management tasks under supervision of their direct supervisor. Responsibilities of the position include but are not limited to grant administration, budget tracking and reconciliation, development of communication materials for internal and external audiences, stewardship reports, coordination of key stakeholders, and carrying out other important operational duties as assigned.

Requirements

  • Previous experience as a program assistant, program coordinator, or relevant position with transferrable skills. Volunteer, intern, on-the-job training, or active learning experiences are all applicable.
  • Proven ability to work well under pressure, prioritize and manage multiple projects, and meet associated deadlines.
  • Self-motivated and proactive/inquisitive, with demonstrated ability to be flexible, work independently, learn actively, collaborate with others, make sound decisions, exercise good judgment and professionalism. Demonstrates a team attitude.
  • Strong communication, writing and editing skills with attention to detail; proven capabilities to draft correspondence, reports, and other written communications.
  • Proficient in MS Office tools and SharePoint.
  • Ability to work with diverse and multi-disciplinary teams.

Nice To Haves

  • Bachelor’s Degree or equivalent experience.
  • At least two years of experience in partnership, non-profit, or education work, including administrative support work with increasing responsibilities.
  • Experience with grant management systems; and/or experience within a relational database with preference for proficiency in a grants management system (e.g. Fluxx).
  • Knowledge of budgeting, spreadsheets and basics of non-profit project management.

Responsibilities

  • Grant Administrative Support
  • In close coordination with supervisor, develop timelines, task lists, and project management tools to accurately and effectively track the progress of annual program grant cycles and one-off funding opportunities.
  • Facilitate administrative processes to include but not limited to processing grant agreements, updating grant database, updating trackers, facilitating vendor contracts and invoices, developing and monitoring purchase orders, and tracking upcoming payments due.
  • Add and update metadata to program media added to NPF’s digital asset manager.
  • Assist in reconciliation of grants for the Connect team working closely with the Grants Administration team and supervisor.
  • Provide efficient and transparent communication to stakeholders related to grant agreement and payment processes including drafting and responding to correspondence, providing verbal updates during cohort calls, and sharing internal updates as needed.
  • Serve as a point of contact for NPF grantees demonstrating superior customer service exhibited through timely, solution-oriented responses to grant-related requests.
  • Support general administrative needs including background research, preparation for meetings/presentations, follow-up on meeting action items, scheduling portfolio-related events, and other duties as assigned.
  • Program Coordination
  • Support a growing portfolio of programs focused on providing educational and recreational opportunities in national parks with support from their supervisor and PnP department.
  • Help to schedule and plan support activities related to the deployment of specific grant-funded programs within the assigned program portfolio including cohort calls, information sessions, and presentations to both internal and external audiences
  • Coordinate with program lead to provide timely program updates and communications to stakeholders, partners and grantees.
  • Coordinate closely with supervisor and NPF revenue teams to ensure donor stewardship is a hallmark of program management.
  • Collaborate with colleagues and external evaluation vendor(s) to ensure appropriate qualitative and quantitative metrics are captured.
  • Storytelling Support
  • Work with PnP team, NPS, and partners to provide requested data and media to support the coordination of external communication such as web updates, stories, social media, stewardship reports and annual reports.
  • Coordinate with stakeholders within NPF and NPS to assist in maintaining timelines, brand guidelines, messaging themes and communication goals.
  • Help ensure NPF and partners have current information on projects to facilitate storytelling and help demonstrate success of investments through regular grants updates.
