About The Position

The Coordinator of Advisement plays a critical role in supporting student success and program operations within the Ruth S. Ammon College of Education and Health Sciences. This position serves as a central resource for prospective, incoming, and currently enrolled students by providing high-quality advisement, navigating admissions processes, and ensuring accurate academic records throughout the student lifecycle. The Coordinator partners closely with program directors and chairs to maintain seamless workflows that uphold academic standards, compliance requirements, and a strong student experience.

Requirements

  • Excellent written and verbal communication skills.
  • Competency in student Learning Management Systems (LMS)
  • Ability to be organized and pay attention to detail.
  • Ability to prioritize workload according to volume, urgency, etc.
  • Strong interpersonal skills.
  • Strong computer skills; Word, Excel and Email; data base management in SLATE, CLASS or equivalent.
  • Knowledge of current NYSTCE (Teacher Certification Exams).
  • Bachelor’s degree in a related field is required.
  • Two years of job-related experience is required; for example in a public school setting or in higher education.

Nice To Haves

  • Master’s degree is preferred.
  • Knowledge of best practices in marketing and recruitment in higher education.

Responsibilities

  • Maintain competence in use of SLATE; monitor and report on conversion and timing of conversion from Inquiries to Applicants.
  • Advise prospective, new, and currently enrolled students in the Ruth S. Ammon College of Education and Health Sciences as needed.
  • Provide advisement services at open houses, registration, enrollment service events and/or upon student request.
  • Undertake transcript evaluation and complete appropriate documentation for graduate applicants. Evaluate and prepare all requests for transfer credits, course waivers and program changes for all new and currently enrolled students; actively monitor student records for accuracy of waivers and course substitutions and troubleshoot with One Stop as needed.
  • Assist with new applicant review processes including review of application materials, review of transcripts, and monitoring of applicant file review process as needed; assist with outreach to pending/accepted students as needed to ensure their timely class registration.
  • Meet with and discuss program options for possible candidates seeking degree programs and non degree course offerings within the College of Education and Health Sciences.
  • Utilize technology (i.e. Stellic) to proactively connect with current and non-returning students and support them through academic advisement and course registration
  • Collaborate with program directors to develop and maintain advisement sheets for new and evolving academic programs.
  • Stay current on curriculum changes and requirements to academic programs; stay current on changes to teacher certification requirements so as to advise students where to retrieve the most up-to-date information.
  • Coordinate with faculty advisors, certification officers, field experience staff, assessment office, and/or academic affairs’ committee members as needed to ensure accuracy of students’ academic records. Assist the Office of Student Success with grade checks and student teaching checkpoint clearances.
  • Advisors should monitor student academic progress and provide timely guidance, especially when a student fails courses or has several incompletes. Stay in communication with the program director for actions to be taken.
  • Support and provide coverage at College related events including but not limited to: Welcome Student Orientations, RSA CEHS Community Meetings, and Pre-Commencement.
  • Perform other job related duties as assigned.
