About The Position

Join the Black Cultural Zone CDC as an Event Coordinator! Are you a logistics-driven professional with a passion for culturally responsive hospitality and community engagement? Black Cultural Zone Community Development Corporation (BCZ CDC) is seeking a Coordinator to plan and execute all event logistics and programming that directly contribute to our enhanced stakeholder experience. This role acts as a central link between internal teams and external stakeholders, supporting everything from vendor relations and on-site operations to data tracking and performance reporting. You will ensure all initiatives are organized, data-driven, and unapologetically center Black arts, culture, and economics in East Oakland. We are seeking someone who is proactive and ready to ensure our programs are deeply engaging and supportive of the creative economy. WHAT YOU'LL DO As the Event Coordinator, you will manage a comprehensive range of operational functions to ensure the efficient execution and strategic success of BCZ programs and events.

Requirements

  • Demonstrated ability to conceptualize project aspects and oversee them from initiation to completion.
  • Strong written and verbal communication skills for effective interaction with stakeholders and community members.
  • Proficient in using various software applications, databases, spreadsheets, and project management tools.
  • Must be able to multitask, handle multiple tasks simultaneously, and adapt to changing priorities or program requirements.
  • Skilled in group facilitation and providing guidance or mentorship as needed.
  • Must possess a valid Driver’s License and current auto insurance for logistics coordination.
  • The role requires the ability to lift and carry 20 pounds.

Responsibilities

  • Logistics Leadership: Lead all logistical aspects including venue setup, A/V requirements, catering, and on-site operational flow.
  • Vendor & Talent Coordination: Lead external vendors, contractors, and artists, ensuring services align with event needs and budgets while upholding accountability.
  • Project Planning: Develop and maintain detailed program schedules, timelines, and work-back plans to meet all deadlines with excellence.
  • On-Site Operations: Serve as the primary on-site lead, troubleshooting issues in real-time to ensure a positive experience for attendees and partners.
  • Data & Documentation: Lead event registration and attendee communications, and develop post-event reports and attendance metrics for continuous improvement.
  • Cultural Alignment: Ensure all programs are culturally competent and align with the SANKOFA Journey Approach and BCZ’s mission.
  • Administrative Support: Reconcile event budgets, process invoices, and coordinate space reservations and setup with the facilities team.
