Primary Objectives of Position: The Coordinator, Business Development provides pre-planning program support to the Business Development department. Specifically, the Coordinator proactively assists Business Development Planners in servicing active client files from inception to prepping them for turnover.

Requirements

  • Bachelor’s Degree or 2+ years equivalent experience in related field
  • Excellent oral/written communication skills
  • Proficiency in Microsoft Office Suite
  • Strong customer service and relationship/people skills
  • Extremely detail and task oriented, with ability to prioritize workload, managing multiple tasks and projects
  • Ability to work independently and stay on task
  • Ability to maintain a professional demeanor in all situations
  • Enthusiastic, hard worker, team player

Responsibilities

  • Managing tasks assigned from all Business Development Planners effectively communicating with them regarding all needs and deliverables
  • Prep programs for turnover with all appropriate program elements
  • Reconfirm, secure and/or release vendor holds appropriate to program needs/status
  • Place holds for items like entertainment, décor, venues, activities, transportation, etc. prior to contract being sent to client
  • Request vendor contracts and reviewing to confirm terms, pricing, etc.
  • Set up contract shells
  • Set up program grids for all new programs
  • Create event list for staffing department to proactively staff programs
  • Update database information as needed including clients, hotels, vendors and new leads
  • Site support as needed and directed such as, cash requests, paying site transportation invoices, prepping/printing proposals, creating site itineraries, site management back-up, gifts, snack baskets, and other site documents as requested
  • Review definite business report view weekly to proactively assist with program preparation
  • Provide PTO coverage for Business Development Planners
  • Complete small snippet proposals as directed by Business Development Planner
  • Assist with program payables as directed ensuring site costs, pre-program costs, deposits, etc. are captured
  • Additional support to Business Development Planners, Account Executives and Design & Development as directed
