About The Position

We are seeking an Marketing & Communications Coordinator to join our Firm. This position is responsible for providing assistance in the preparation of new business proposals, Requests For Proposals (RFPs), presentations and event coordination; assist with awards and rankings submissions and provide general administrative support to the Business Development & Marketing Department. Assists with preparation of new business proposals, RFPs and presentations, including experience lists and sourcing attorney experience, formatting drafts of materials, proofreading, and the production and distribution of materials. Researches, maintains and tracks practice, attorney and deal information needed to respond to various directories and surveys (i.e., Chambers USA, Legal 500, Best Lawyers, etc.); prepares and formats draft submissions for partner review; handles requisite coordination of references for Chambers; assists in scheduling researcher interviews. Liaises with other internal support departments (Client Accounting, Strategic Intelligence, Human Resources, Attorney Development and Recruiting, Research & Knowledge Services and Technology) to obtain client relationship data for new business proposals and presentations and firm data for responses to surveys and ranking lists, as needed. Coordinates client-facing educational and social events (seminars, webcasts and conferences, receptions, dinners, etc.); plans, executes and monitors all event logistics (venue, services, invitations, printed materials, etc.) and attends events as needed. Prepares internal event-related communications and maintains various tracking databases associated with event production. In coordination with Attorney Development, facilitates CLE management for internal and client seminars. Assists with monitoring and compiling updates for various initiatives (e.g., Blockchain). Assists with internal reporting for monthly litigation meetings and office Town Halls. Liaises with Global Business Development & Marketing Department regarding maintenance of attorney biographies, practice area descriptions, attorney photographs, client mailing lists and website updates. Utilizes Microsoft PowerPoint, Word, Excel, Adobe InDesign, Intrado, Foundation and other software tools to develop collateral materials and marketing presentations; liaise with Design team on sponsorship advertisements. Provides administrative support including, but not limited to, coordinating the tracking and reporting on marketing, business development and public relations activities; and coordinating periodic attorney photo shoots. Demonstrates effective interpersonal, written and verbal communication skills to facilitate effective work relationships with others. Manages Firm resources responsibly. Regular and reliable physical presence. Complies with and understands Firm operation, policies and procedures. Performs frequent physical exertion including: sitting, repetitive use of both hands, lifting and carrying up to 10 pounds. Performs other related duties as assigned.

Requirements

  • Current knowledge of industry best practices, trends and techniques
  • Knowledge of relevant firm computer software (e.g., Outlook, Excel, PowerPoint) with the ability to learn new software and operating systems
