About The Position

The Intake Coordinator ensures a smooth and compliant intake process for participants entering Career Pathway Workforce Development programs.

Requirements

  • One to two years prior relevant experience or equivalent in Workforce Development.
  • Strong data literacy and case management system experience.
  • Intermediate computer skills with proficiency in Microsoft Office required.

Responsibilities

  • Oversees intake workflows and provides feedback for improvement, regularly reviewing processes and suggesting enhancements to increase efficiency and compliance.
  • Conducts routine file audits and tracks corrective actions, ensuring that documentation is accurate and compliant with standards by identifying discrepancies and following up on necessary corrections.
  • Coordinates assessment scheduling and ensures results are recorded accurately, organizing multiple tasks and details to maintain data integrity and timely completion.
  • Generates exception reports and shares them with program leaders, analyzing data to identify trends or issues and communicating findings to support informed decision-making.
  • Monitors cycle times, bottlenecks, and participant experience metrics, analyzing workflow data to identify areas for improvement and acting on findings to enhance program effectiveness.
  • Documents lessons learned and proposes process enhancements, reflecting on outcomes and suggesting new approaches to improve future performance.
  • Builds strong customer relationships and delivers customer focused solutions.
  • Serves as WFD’s point of contact for compliance reviews and findings, effectively communicating with internal and external stakeholders to address compliance matters.
  • Facilitates monthly huddles to review intake metrics and compliance updates, leading group discussions to share information, address concerns, and foster a collaborative environment.
  • Trains intake staff on data-entry standards and best practices, providing clear instruction and support to build team capability and ensure consistent data quality.
  • Develops and delivers messages that convey a clear and concise understanding of the unique needs of our audiences.
  • Performs regular data quality checks (completeness, accuracy, duplication), demonstrating attention to detail and a commitment to maintaining high standards of integrity and confidentiality.
  • Supports CARF-required documentation for Workforce Development programs, ensuring all required records are complete, accurate, and submitted on time to meet regulatory and funder requirements.
  • Ensures intake workflows and documentation meet regulatory and funder requirements, proactively identifying and addressing gaps to maintain compliance.
