About The Position

The Administrative Office Coordinator provides high level administrative and strategic support with a strong emphasis on marketing initiatives, executive coordination, provider credentialing, and hospital wide engagement activities. This role works closely with the CEO and leadership team to support organizational growth, enhance provider relationships, and drive employee engagement across the hospital

Requirements

  • Three (3) years of progressively responsible administrative experience in a fast-paced environment, preferably in a high level administrative support role.
  • Skill and proficiency in applying the highly technical principles, concepts and techniques which are central to daily office coordination/administrations normally acquired through the completion of 1 year college or equivalent experience.
  • Must possess excellent organizational and communication skills (both written and verbal).
  • Must also possess high level of computer proficiency working with different office applications.
  • 60 WPM typing speed.

Nice To Haves

  • 2 years’ experience in sales and marketing.
  • Associate’s degree

Responsibilities

  • Leads organizational marketing strategy and brand positioning by developing and executing high impact initiatives that drive growth, market share, and long-term value.
  • Oversees revenue-generating marketing functions including digital strategy, social media advertising, partnerships, and market expansion, ensuring alignment with overall business objectives.
  • Drives strategic stakeholder engagement and market influence by going out face-to -face to physicians’ offices for marketing recruitment efforts, building key relationships, enhancing organizational reputation, and identifying new business opportunities.
  • Assists with provider credentialing processes by coordinating documentation, ensuring accuracy and compliance with regulatory and organizational standards.
  • Supports credentialing timelines and onboarding by collaborating with internal teams and external entities to facilitate timely approvals and provider readiness.
  • Submits and tracks contracts by managing documentation, monitoring approval status, and ensuring timely execution and compliance.
  • Provides high-level administrative support to the CEO by managing complex calendars, prioritizing communications, and coordinating executive meetings and travel.
  • Prepares and manages executive-level communications and materials including reports, presentations, and confidential correspondence with a high degree of professionalism and discretion.
  • Coordinates cross-functional initiatives on behalf of the CEO by tracking action items, facilitating follow-ups, and ensuring alignment across departments and leadership teams.
  • Coordinate board and medical staff meetings, ensuring all preparations, documentation, and required materials are completed accurately and in compliance with regulatory and organizational standards.
  • Coordinates hospital-wide employee/provider engagement and recognition strategy by elevating appreciation efforts, strengthening culture, and enhancing workforce satisfaction and retention.
  • Oversees planning and execution of organizational recognition programs including all employee appreciation weeks, ensuring consistent, high-impact experiences across departments.
  • Drives enterprise-wide engagement initiatives by coordinating activities for staff and providers that foster collaboration, morale, and a unified organizational culture.
  • Provide direct administrative and operational support to senior leadership, assisting with high level initiatives, strategic priorities, and task completion to ensure organizational goals are met efficiently.
  • Completes other duties as assigned.
