About The Position

Control Solutions Group, Inc. is seeking an Operations Coordinator, referred to as a Controls Service Coordinator, to support a wide range of activities related to the management of Building Management Systems. Key responsibilities for this role include material management, dispatching service technicians, handling construction invoicing, issuing subcontracts and purchase orders, reviewing and editing contract language, tracking change orders and contract values, and maintaining various construction-related documentation logs. The ideal candidate will possess a positive attitude, be a self-starter, take initiative, and be capable of performing diverse tasks as part of a collaborative team. While not strictly required, experience with controls, Building Management Systems (BMS), Building Automation Systems (BAS), Direct Digital Control (DDC), Building Automation, Energy Management Systems (EPMS), or Energy Management Systems is considered a plus. The position mandates proficiency with Microsoft Office applications and some prior support or coordination experience within the construction or mechanical contracting industry.

Requirements

  • College graduate or minimum three years’ experience in HVAC, Controls or Construction Company
  • Excellent communication skills both oral and written
  • Excellent organization skills

  • Proficient with Microsoft Word, Excel and PowerPoint
  • Works well in a team environment and is also able to work independently with minimal supervision
  • Self-motivated

Nice To Haves

  • Experience with controls, BMS, BAS, DDC, Building Automation, Building Management, EPMS or Energy Management Systems is a plus.

Responsibilities

  • Receive phone requests from customers for service/maintenance work and price quotes
  • Dispatch all service technicians
  • Review technician work orders for contract compliance and additional work
  • Assist Safety Manager and ensure field personnel have proper safety equipment
  • Order warehouse parts and maximize profits by searching for best price on materials
  • Accounts Receivable - monitor and collect accounts receivable by contacting clients via telephone, email and mail; perform account reconciliations; maintain accounts receivable files and records, produce monthly reports, investigate and resolve customer irregularities and disputes
  • Generate customer invoices
  • Set up and renewal of contracts
  • Contracts review and mark-up
  • Send out warranty expiration notifications/solicitations for contracts.
  • Assist Managers with all other duties as required.
