About The Position

Provides administrative support for the Contracts Services team at the HHS corporate office. Responsible for contract coordination, supporting RFP responses, project management, and delivering exceptional customer service to internal and external clients across HHS' key industries.

Requirements

  • Software Proficiency: Fluent in platforms like Salesforce, DocuSign, Word, Excel, Adobe, and Google applications for contract maintenance and data entry.
  • Communication & Analysis: Excellent writing and analytical skills necessary for effective contract editing and supporting RFP responses.
  • Organizational Mastery: Strong organization, attention to detail, and multitasking abilities for handling a high volume of contractual documents.
  • Independent Work Ethic: Ability to work independently with minimal supervision, essential for supporting a remotely managed team.
  • Cross-Functional Collaboration: Proven skill in managing multiple projects and collaborating effectively across teams like Finance, Sales, and Operations.
  • Minimum 2 year of administrative experience is required.
  • Bachelor’s degree or equivalent related experience.
  • Knowledge of standard service level contract terms and templates.

Nice To Haves

  • Experience working in a contracts administration support role is strongly preferred.

Responsibilities

  • Maintain the central database of all contractual increase terms, customer contacts, and contract status.
  • Manage the process for sending monthly increase notifications to Operators and clients, and quarterly term/date reminders to internal Operators.
  • Assist in making recurring edits to various contract template documents (NDA, LOI, SOW, MSA) across all service groups (Housekeeping, Food, IFM, etc.).
  • Handle all daily clerical functions, including obtaining signatures, scanning, distribution, and filing.
  • Compile and distribute the monthly contractual purchasing report.
  • Provide necessary contract details to the Risk department for claims.
  • Perform routine data entry to maintain contract accuracy, primarily using Salesforce and Google applications.
