About The Position

Contracts Clerk will be responsible for processing daily accounting transactions, including, but not limited to, Used Vehicle Purchases, Wholesales, and processing DMV transactions efficiently and accurately. This role is also required to frequently reconcile various schedules related to DMV fees, Lien Payoffs, and Wholesale Receivables.

Requirements

  • Five years of automotive business office clerical experience
  • Tekion experience
  • DMV Desk experience
  • High school or GED
  • Detail-oriented with excellent communication skills and a professional personal appearance
  • Self-motivated; able to effectively prioritize tasks and organize workload to solve problems

Responsibilities

  • Process wholesales, including DMV duties
  • Post contacts paid and incoming wires
  • Accurately record and post-sale/profit transactions and accounting
  • Complete title paperwork for auction or wholesaler promptly
  • Update management and other staff when changes relating to Tekion occur
  • Pull sold inventory jackets, print labels and set aside per store until office receives original deal documents
  • Communicate effectively with clients and associates, to prevent potential problems from arising
  • Monitor deal activity to ensure that sales are being recorded
  • Review any titling problems with the responsible managers and provide a monthly titling “heat sheet” for missing documentation
  • Verify deals for revenue recognition once original deal package is received in office such as down payment, tax forms, product forms, etc
  • Assist with outside DMV service issues
  • Notify management and finance immediately when discrepancies occur
  • Monitor stores are compliant with all appropriate regulations and laws on deals
  • File documentation related to sales and follow up on incomplete or pending transactions
  • Ensure periodic scanning of finalized deals jackets, vendor invoices, EOM reconciliation
  • Coordinate annual storage of business documentation
  • Assist in completion of interim and annual audit
  • Any other duties as assigned by Management
