About The Position

We are seeking a proactive Contract Executive Support Assistant to partner with the Executive Assistant to the CEO and Executive Assistant to the President on day-to-day operations. This contract role provides backup scheduling, travel, and administrative support, helps manage facilities-related tasks, and contributes to smooth operations for our leadership team. 1+ year of administrative or executive support experience is preferred. What You'll Be Building Partner with the Executive Assistants to the CEO and President to support day-to-day operations, including backup executive scheduling, travel arrangements, and administrative needs. Track expenses, process invoices, and support basic administrative workflows. Assist with occasional office manager duties such as supply ordering, vendor coordination, and facility maintenance coordination. Prepare materials and organize conference rooms for meetings, investor conversations, and site visits; act as a scheduling and space-relief point to resolve conflicts. Maintain organized, secure files, documents, and information. Support onboarding activities for new team members (e.g., conference room scheduling, calendar development, and coordination). Serve as a liaison between the CEO/President teams and team members, partners, and external stakeholders. Provide backup coverage for the Executive Assistant as needed. Assist with event logistics from concept to completion, including vendor coordination, catering, and setup.

Requirements

  • 1+ year of experience in an administrative or executive support role (startup experience is a plus).
  • Proficiency in Microsoft Office Suite.
  • Ability to stay calm and solutions-oriented in high-stress situations.
  • Strong organizational skills and the ability to juggle competing priorities.
  • Excellent communication skills and sound judgment.
  • High level of discretion and trustworthiness.
  • Comfortable working independently and as part of a team.
  • Tech-savvy and quick to learn new tools.
  • Comfortable traveling between our two Cambridge work site locations (20 mins apart) as needed

Nice To Haves

  • 4-year degree from an accredited college or university.
  • Prior experience supporting a senior executive.
  • Interest in startups, early-stage companies, or AI tools.
  • Willingness to take on responsibilities beyond a traditional admin role.
