Work with staff in gathering, verifying, and processing documentation, and relies on moderate to extensive experience and judgment to plan and accomplish assigned tasks. The ideal candidate for this role will have the ability to leverage technology to enhance the communication and operational efficiency of the service branch.

Requirements

  • High School diploma or GED
  • 3+ years of experience in Contract Administration or Customer Service
  • 1+ years of experience using Microsoft Office Suite

Nice To Haves

  • Associate’s or Bachelor’s degree in Business, Administration, or related field
  • Experience in the HVAC industry
  • Excellent verbal and written communication skills
  • Strong organizational skills
  • Excellent attention to detail and accuracy
  • Experience with Microsoft Office
  • Experience with Salesforce, SAP, or similar CRM

Responsibilities

  • Serve as secondary support for incoming phone inquiries
  • Conduct renewal reviews to ensure accuracy and timeliness
  • Process contract cancellations accurately and efficiently
  • Manage Preventative Maintenance (PM) plans
  • Book new contracts and ensure proper system entry
  • Perform daily reviews of closed but un-booked contract opportunities
  • Lead contract handoff reviews with Sales and Service Managers
  • Manage and update scope changes as needed
  • Oversee parts management for annual service requirements
  • Participate in Operations and Sales Daily Management Board (DMB) meetings
  • Review PM and renewal metrics; provide updates on progress and performance
  • Support Accounts Receivable (AR) requests related to contract invoicing
  • Handle monthly contract billing and release billing blocks as required
