About The Position

Contract Management Specialist Position Summary: Work Schedule: Monday – Friday, 8am – 5pm. 100% on-site Catalent is a leading global CDMO partnering with pharma and biotech innovators to accelerate development and delivery of life-changing therapies. Our FDA-licensed, state-of-the-art CGMP gene therapy campus in Harmans, MD—just minutes from BWI Airport—features EMA and FDA-approved manufacturing suites, fill/finish capabilities, labs, and warehousing to support Phase 3 through commercial production of advanced therapies, including AAV and other viral vector-based products. The Contract Management Specialist provides administrative, financial, and compliance support within a pharmaceutical operations environment. This role ensures accurate contract management, timely maintenance coordination, and efficient handling of finance-related activities while upholding strict regulatory and quality standards (GMP, GDP, ISO, and company policies). The Contract Management Specialist will report to Sr. Director Operations.

Requirements

  • Bachelor’s degree in Business Administration, Finance, Supply Chain, or a related field.
  • Minimum of 4 years of experience managing vendors or contractors required; experience supporting large facilities is preferred.
  • Strong understanding of procurement, contracts administration, finance processes, and maintenance coordination required; experience in pharmaceutical, biotech, healthcare, or other regulated industries preferred
  • Proficient in ERP systems and MS Office (Excel, Word, PowerPoint), with strong administrative, documentation management, and organizational skills.
  • Excellent communication, collaboration, and multitasking abilities, with a proactive approach to problem-solving and prioritization.
  • High attention to detail and accuracy, supported by analytical thinking, financial literacy, and a strong compliance mindset.
  • Demonstrated professionalism, confidentiality, and effective vendor management when working with internal stakeholders, auditors, contractors, and suppliers.

Responsibilities

  • Draft, review, process, and manage supplier, service, and operational contracts, including tracking terms, renewals, pricing, and performance obligations in compliance with company and legal requirements.
  • Coordinate with Procurement, Legal, Quality, and other stakeholders, maintain organized contract records, and support audits by providing required documentation and compliance evidence.
  • Serve as the primary point of contact for facility, equipment, and service maintenance, including scheduling preventive maintenance and coordinating vendor service visits in compliance with GMP and validated system requirements.
  • Maintain equipment calibration, qualification, and maintenance records, track contractor performance, and support facility projects, equipment installations, and vendor onboarding activities.
  • Process purchase orders, invoices, vendor payments, and expense reports in accordance with finance procedures while maintaining accurate financial records.
  • Support budgeting, cost tracking, reconciliations, and spend monitoring for maintenance and contract-related expenses, highlighting variances as needed.
  • Partner with Procurement and Finance on cost control, vendor pricing updates, and audit support, including internal and external audits.
  • Ensure administrative processes comply with GMP/GDP, SOPs, internal audits, and regulatory requirements, including preparing documentation for regulatory inspections.
  • Maintain current vendor qualification documentation and protect the confidentiality of sensitive contract and financial information.
