About The Position

Process, verify, and reconcile invoices and claims accurately and in a timely manner. Oversee the implementation and continued updates of multiple data spreadsheets. Serve as a gatekeeper for data accuracy within multiple software platforms. Provide support to the Director of Operations, Continuing Education Department staff, and administrative support to the Vice President of Continuing Education & Economic Development.

Requirements

  • Bachelor’s degree.
  • Proficient with Microsoft Office and ability to work with other platforms.
  • Strong organizational skills with attention to detail.
  • Excellent customer service, communication and critical thinking skills.
  • Demonstrated ability to effectively and cooperatively work with people in a team effort.
  • High degree of diplomacy and confidentiality.

Responsibilities

  • Process, verify, and reconcile invoices related to Continuing Education programs.
  • Facilitate payroll process for instructors to ensure timely payment.
  • Enter data for tracking purposes for the 260E, 260F, and WTED programs.
  • Supervise student workers and part-time MOU staff.
  • Provide administrative support for the Vice President of Continuing Education & Economic Development.
  • Assist with scheduling meetings, preparing documents, and managing communication.
  • Assist with the coordination, preparation, and organization of the promotions for the Continuing Education Department.
  • Maintain accurate records and databases related to program operations and financial transactions.
  • Maintain and update records in the Customer Relationship Management (CRM) system.
  • Serve as a primary gatekeeper regarding accurate data within software platforms and provide required support with annual state reporting of department data.
  • Process weekly and monthly reports for departmental meetings and department scorecard tracking.
  • Work closely with other departments to ensure exceptional program delivery.
  • Assist operations staff with registrations for Continuing Education programs, processing of completed classes and required paperwork, and assist with answering department phone calls.
  • Order and maintain office supply inventory.
  • Provide excellent customer service to internal and external stakeholders.
  • Train new operations staff on various operations tasks, functions, and responsibilities.
  • Work closely with Human Resources regarding Continuing Education instructor applications and completion of the HR process required for payroll.
  • Serve as a back-up team member for weekly processing of CDL classes, CSTIMS reporting, and invoicing.
  • Maintain strong organizational skills, demonstrate reliability, and communicate effectively with stakeholders.
  • Fulfill other responsibilities as needed or assigned.
  • Perform in a manner which strengthens the coordination and cooperation of all organizational components of the College, including opportunities for student recruitment.
