About The Position

Under general supervision of the Program Manager, Community Engagement, performs specialized clerical work to aid in the communication of resources and pertinent information to the community and Inland Regional Center (IRC) employees. As well as provides the department with a wide variety of administrative support services. Has no supervisory responsibility. HOURLY RANGE: $19.7748 - $27.8251 per hour SIGN-ON BONUS! $250 sign-on bonus after the completion of 90 days of employment at IRC with work performance in good standing. $500 sign-on bonus after the completion of 6 months of employment at IRC with work performance in good standing. Requirements

  • High School Diploma or equivalent.
  • One year of office/clerical work or similar experience.
  • Ability to follow oral and written direction.
  • Ability to establish and maintain effective working relationships with others.
  • Full use of an automobile, possession of a valid driver's license and liability insurance for the minimum amount prescribed by law or ability to provide for independent transportation.
  • Must have and maintain a safe driving record.

Responsibilities

  • Assist in proofreading marketing materials to ensure accuracy and compliance with brand standards.
  • Coordinate with Facilities and Procurement to secure appropriate space within IRC for community engagement events as needed.
  • Collaborate with the IRC Procurement Department to request and obtain necessary supplies in support of the Community Engagement Team, Consumer Advisory Committee (CAC), community events, and other departmental activities.
  • Serve as the agency’s primary liaison to the Consumer Advisory Committee by coordinating with Consumer Advocates, providing support, and promoting all CAC events.
  • Provide clerical support for outreach efforts led by Consumer Advocates.
  • Provide support in coordinating IRC special event set up and breakdown under the direction of the Community Engagement Manager.
  • Track attendance data and prepare post-event reports.
  • Develop and publish one blog post per month for inlandrc.org highlighting Intellectual and Developmental Disabilities (IDD) community events, trainings, and related activities.
  • Assist in the coordination of photo releases and consent forms for community events.
  • Serve as a member of the IRC Fall Festival, Vendor Fair, Special Events, and Service Access and Equity (SAE) Conference Planning Committees.
  • Track and log outreach requests, meeting notes, and follow-up actions for the Community Engagement team.
  • Maintain the Community Engagement Team’s intranet page.
  • Gather information and articles regarding support groups, consumer employees, IRC event/conferences and community resources and lay out material in the appropriate section of the agency newsletter using graphic design software.
  • Coordinate with Spanish and low-frequency language interpretation vendors to ensure the timely distribution of agency materials (e.g., brochures, flyers, fact sheets, directives, policies, reports, and event programs).
  • Assist Manager - Community Engagement with correspondence to include daily: typing error-free correspondence and reports and prepare documents for mailing.
  • Complete necessary paperwork, reports, etc. on a timely basis.
  • Act as a backup for social media, i.e. Facebook, Twitter, and Instagram, when needed or in the absence of the Community Relations Specialist.
  • Create flyers and pamphlets for team members per their request and for other agency personnel as determined by the Manager – Community Engagement.
  • Maintain and update department filing systems (electronic and hard copy) to ensure accessibility and compliance.
  • Design specialized booklets per request of Community Engagement team members.
  • Work cooperatively and effectively with others.
  • Perform as a member of the team, answer questions, share expertise and contribute to the harmony of the team.
  • Use office equipment appropriately and report the need for any repairs.
  • Keep work area neat and orderly.
  • Observe all safety rules and comply with IRC’s Injury and Illness Prevention Plan and Workplace Violence Prevention Plan.
  • Ability to handle a hybrid work environment consisting of working in the office and remotely at home while maintaining work productivity and efficiency; communicate via telephone calls, video conference calls, emails, and chat rooms.
  • Handle change well and be flexible and adaptable in dealing with interruptions, new priorities and new assignments.
  • Maintain good attendance and punctuality.
  • Good verbal and written communication skills.
  • Keep manager informed of pending work, work in progress and problems encountered.
  • Utilize agency’s IT systems as assigned, maintaining security and following agency’s protocol and procedures, rules, and requirements.
  • Attend training sessions as required.
  • Comply with and ensure program compliance with agency’s Personnel Policies and Procedures.
  • Perform different or additional work as assigned.
