About The Position

The Construction Services Administrator will maintain construction project records and process construction-related paperwork. The position will support the Construction Services Division in an administrative capacity.

Requirements

  • High School Diploma or GED
  • This position is full-time in office.
  • 1+ years of administrative experience.
  • Strong communication skills.
  • Strong organizational skills.
  • Working knowledge of Microsoft Office Suite.

  • Bachelor’s degree preferred.

Responsibilities

  • Coordinate and manage construction project files in the transportation, public works, and development/industrial market.
  • Work within construction management software packages (SiteManager/Headlight, ProCore, and others). Please note that training for these software packages will be provided.
  • Provide general administrative and office support including answering phones, greeting visitors, scheduling meetings, managing calendars, handling correspondence, and supporting day-to-day office operations.
  • Maintain organized electronic and hard-copy filing systems for Construction Services projects, including saving emails, submittals, and correspondence to the appropriate project folders.
  • Track incoming and outgoing documents to ensure items are routed properly and nothing requiring staff attention is overlooked.
  • Prepare, format, and proofread routine letters, transmittals, approval documents, inspection reports, and other correspondence for staff review/signature.
  • Assemble and distribute project materials including spec books, DOTD binders, copies, meeting packets, and other supporting documentation.
  • Assist with billing and invoice coordination by compiling supporting documentation and accepting payments.
  • Order office supplies, support team needs, and perform errands as needed to assist Construction Services staff.
  • Utilize Microsoft Office Suite, Adobe/Bluebeam, and basic document management/project portals to support recordkeeping and administrative workflows.
