About The Position

The Construction Operations Specialist supports the successful execution of construction projects by providing critical administrative and logistical support, coordinating materials, documentation, and communications across teams. This position bridges the gap between Procurement, Construction Management and Field Operations. This role focuses on facilitating communication between internal teams, organizing job sites for optimized material, task and labor work flows, while ensuring deliverables are completed on schedule. The Construction Operations Specialist provides administrative and logistical support, allowing the Construction Manager to focus on strategic decision-making and overall project success. Responsibilities include tracking and forecasting project progress, maintaining documentation, and overcoming unforeseen challenges.

  • High school diploma or GED required; Associate’s degree or coursework in Business, Construction, or Supply Chain Management preferred.
  • 2–4 years of experience in construction coordination, procurement support, or project administration.
  • Experience with PDF editor, BlueBeam, Google Docs and Sheets (or Word and Excel), and a general computing background.
  • Possession of a valid driver's license and clean driving record are required.
  • This role requires the operation of company vehicles for travel to project sites and warehouses. Due to the requirements of the company's commercial auto insurance policy, all individuals assigned a company vehicle must be 25 years of age or older.
  • Willingness to travel to project sites and warehouse(s) with the potential for overnight stays.
  • Flexible Schedule: must have ability and willingness to maintain flexible work schedules, as weekend, alternate shift schedules and extended workdays are necessary.
  • Frequent bending, reaching, handling, sitting, standing, walking, and lifting 50lbs unassisted and up to 100lbs assisted.

Nice To Haves

  • Experience with construction workflows and materials is preferred.
  • Equipment operator certification (or willingness to obtain) for aerial work platforms, forklifts, drones, etc.

Responsibilities

  • Construction Logistics & Procurement Support: Procurement logistics support, ensure all field crews have necessary materials delivered prior to task commencement.
  • Regularly visit active and upcoming projects to record progress, resolve roadblocks to forward progress and make arrangements to maintain schedule.
  • Support inspections and project commissioning.
  • Tracking and coordinating on site equipment to maximize utilization and optimize pick-up/delivery timing.
  • Subcontractor management - advanced scheduling and scope discussions to ensure subcontractors are fully prepared to complete work on MYNT’s schedule without causing delays.
  • Maintain clear documentation of delivery schedules, communications, and procurement activities.
  • Field & Warehouse Support: Assist with physical reception and inventory of deliveries at project sites or warehouse(s) as needed.
  • Coordinate with superintendents and field teams to ensure site readiness and resolve material issues quickly.
  • Support warehouse organization and materials tracking.
  • Project Documentation & Administrative Management: Review and update tasks in softwares to keep construction schedules on target while reporting significant and potential delays to Project and Construction Managers.
  • Facilitate information flow between office, field, vendors and customers.
  • Prepare and record meeting notes based on latest information flowing across divisions.
  • Time tracking: enter project related labor hours to properly account for budget accuracy.
  • Review labor hours for projects to assess production rate changes based on scope for accurate bidding.
  • Weekly, complete time card transfer to accounting software and track/report weekly expenses and per-diems for field crew.
  • Assist in tracking permit approvals and permit related tasks remotely and in necessary AHJ offices.
  • Ensure permit revisions are timed well with work to be completed to ensure inspections are not delayed and project durations stay on schedule.
  • Coordination of job start and job close-out including scheduling hand off meetings and collating documents (as builts, warranties, manuals, commissioning reports, etc.) for closeout binders.
  • Collection and organization of subcontractor/accounting related project document requirements: COI, W-9, milestone certificates, policy documents, etc., and update softwares accordingly.
  • Subcontract drafting, review & routing.
  • Tracking and updating project schedules as needed in project management software.
  • Maintaining & updating job files, controlled forms & logs.
  • Draft requests for proposals and perform pre-qualifications of vendors and subcontractors.
  • Draft client and subcontract proposed change orders and confirm documents.
  • Draft and track submittals, RFI's, and RFQ's.
  • Upload reports into the Lessons Learned tracking sheet.
  • Maintain organized digital filing of procurement and project documentation.
  • Support project submittals, RFIs, and RFQs.
  • Reporting & Communication: Provide weekly status updates to project, construction and procurement leadership.
  • Participate in project meetings and huddles to report updates and ensure alignment across divisions.
  • Respond to internal and external inquiries promptly and professionally.
  • Handle confidential data professionally.
  • Additional tasks as assigned by the management team(s).
