About The Position

We're looking for an experienced Office Manager who thrives in the fast-paced construction industry. This is a hands-on leadership role where you'll be the backbone of our operations—managing financials, coordinating with field teams, and ensuring our office runs like a well-oiled machine. If you're someone who can jump from processing payroll to pulling permits ,lien releases etc without missing a beat, we want to hear from you.

Requirements

  • 5-7 years of office management experience, preferably in construction or related trade industries
  • 4 + years hands-on experience with QuickBooks (QuickBooks Online preferred)
  • Proven experience with accounts payable, accounts receivable, and monthly reconciliation
  • Demonstrated ability to create and implement office systems and processes

  • Ability to adapt quickly and manage multiple projects simultaneously
  • Proficiency with ADP or similar payroll systems
  • Comfortable learning new construction management software
  • Office hours 7:00 AM - 3:00 PM

  • Knowledge of construction lien laws and contract administration

Responsibilities

  • Manage accounts payable and accounts receivable using QuickBooks Online
  • Perform monthly reconciliations and maintain accurate financial records
  • Process payroll through ADP and maintain employee records
  • Support budgeting and provide financial reporting to leadership
  • Process lien releases and track project financials
  • Assist the Estimator / Project Manager
  • Coordinate with field teams to ensure they have materials, permits, and information needed
  • Use project management software to update job status and track progress
  • Manage vendor relationships and negotiate with service providers
  • Handle construction-specific documentation and compliance requirements
  • Oversee daily office operations and maintain efficient workflows
  • Schedule and coordinate weekly team meetings
  • Develop and implement office processes and systems to improve efficiency
  • Manage front desk operations including phone system
  • Support HR functions including recruitment, onboarding, and employee relations
  • Maintain organized filing systems and documentation practices
  • Pull and track permits with various municipalities
