Position Overview: The Construction Administrator will provide office and construction administrative support. This position works across all departments within the division (e.g., construction, sales). The role will involve construction specific administrative responsibilities such as the preparation of permit packages, assisting with vendor contracts, and updating MLS listings. This role will also perform traditional office administrative responsibilities such as answering phones, distributing mail, and assisting with the onboarding of new employees.

Requirements

  • Bachelor’s Degree or 3 years equivalent job-related experience.
  • At least 3 years of administrative experience.
  • Experience with Word, Excel, PowerPoint, and Outlook.
  • Valid driver’s license required.
  • Must be able to read, write, and speak fluently in English.
  • Employees in the position are required to be able to hear and have sufficient vision to utilize all office equipment.
  • Use of hands and fingers is required to utilize standard office equipment.
  • Use of feet and legs required to walk, climb and maneuver within construction sites.
  • Requires occasional lifting to 20 pounds.

Responsibilities

  • Prepare permit packages for submission and distribute permits to the construction team.
  • Release purchase orders in accordance with starts plan.
  • Assist with vendor contracts, insurance, purchase orders, and coordinate customer service with 3rd party administrators.
  • Input and reconcile customer service records into the Dynamic Builder software program and manager customer service reports weekly.
  • Maintain and update MLS listings for sales team.
  • Answering incoming calls and receiving visitors who come into the office.
  • Manage the operations of the breakroom, conference rooms and other work areas.
  • Manage calendar for all conference/training rooms.
  • Initiate and track facility maintenance repairs as needed.
  • Assist with new hire onboarding by preparing work location (office/workstation).
  • Distribute incoming mail and shipments while ensuring outgoing mail and shipments are handled properly.
  • Other duties as assigned.
