About The Position

What You'll Do: Manage entire program lifecycle from contract turnover to final billing, using business program management systems Coordinate and negotiate all program elements including hotels, congress needs, DMC, air, and third-party contracts Develop comprehensive program itineraries and working agendas Conduct program debriefs and site inspections as needed Maintain proactive communication with clients, stakeholders and suppliers including regular status meetings to ensure program objectives are met Partner with IT, creative teams, and support departments to exceed client requirements Manage overall program budget, track expenses, and monitor financial performance; including review and audit of billing accuracy, monitoring foreign exchange rates and potential budget impacts. Maintain accurate records and system inputs per policy Handle complex meetings and events with high confidentiality requirements Develop and maintain key client and supplier relationships. Demonstrate leadership and promote a positive team environment What We're Looking For: REQUIRED: minimum of 3 years meeting planning experience with at least 3 years supporting Pharma business. Pharmaceutical Congress experience required. 4 year degree preferred. CMP designation preferred. Ability to communicate effectively and professionally with all levels of management and clients. Neat and professional appearance Ability to work accurately and timely – in order to meet deadlines Ability to be flexible and handle change well Proven aptitude for technology and/or software solutions and analytical skills required. Including Microsoft Word and Excel experience – Advanced level Experience with meeting industry technology required (CVENT) Ability to travel by airplane, boat, rail and/or car with travel up to 40%
