About The Position

The Conference Services Manager is responsible for the planning, coordination, and flawless execution of assigned group meetings, conferences, and social events once contracted. Acting as the primary point of contact for clients post-sale, this role ensures that all event details are clearly communicated, documented, and delivered in alignment with client expectations and hotel standards. The Conference Services Manager works closely with the Director of Conference Services, Director of Event Sales & Services, Event Sales Managers, and hotel operational teams to deliver exceptional experiences while maximizing operational efficiency and guest satisfaction.

Requirements

  • Proven success in a Conference Services Manager or similar role.
  • Strong organizational and multitasking skills.
  • Excellent communication and client-facing skills.
  • Experience conducting planning meetings and site inspections.
  • Proficiency in Microsoft Office and Opera/Opera Cloud.
  • Polished, professional, and hospitable demeanor.

Responsibilities

  • Conference & Event Planning: Serve as the main liaison for clients after contracts are confirmed, managing all event logistics from planning through on-site execution.
  • Conduct detailed planning meetings with clients to confirm program requirements, including agendas, room setups, audiovisual needs, catering, and special requests.
  • Prepare, review, and distribute all event documentation, including BEOs, group resumes, timelines, floor plans, and schedules.
  • Ensure all changes and final details are communicated clearly to clients and internal departments.
  • Collaborate closely with Event Sales Managers to ensure a seamless transition from sales to operations.
  • Client Experience & Liaison: Build strong relationships with meeting planners, corporate clients, and internal hotel teams.
  • Act as the on-site contact for assigned groups and events.
  • Anticipate client needs and provide creative, solutions-oriented support.
  • Facilitate effective internal communication across departments.
  • Operational & Administrative Responsibilities: Ensure all event details are accurately entered and maintained in Opera.
  • Review billing and assist with post-event reconciliation as needed.
  • Prepare conference services reports and documentation.
  • Coordinate site inspections and pre-event walkthroughs.
  • Support compliance with hotel policies and brand standards.
