About The Position

The Conference Coordinator plays a key role in creating exceptional meeting and event experiences. This position partners closely with clients, guests, and internal teams to deliver seamless planning, coordination, and execution of conferences, meetings, and special events across the account.

Nice To Haves

Bachelor’s degree preferred
Proficiency in Microsoft Office Suite
Minimum of two years’ experience in event or conference planning, ideally within the hospitality industry
Experience creating content or supporting brand presence on social media platforms (TikTok, Instagram, etc.)
A proactive, solutions-oriented mindset with the ability to anticipate needs in a dynamic environment
Curiosity and commitment to staying current on industry trends, with a willingness to share insights with the team
Strong customer service skills and a passion for delivering exceptional client experiences

Responsibilities

Serve as the primary point of contact for incoming calls and client reservation requests
Maintain accurate event data and documentation within internal databases
Lead event planning and logistics for all onsite activities
Communicate event details to internal partners including Conference Services, Catering, and Audio Visual teams
Conduct pre-event room checks to ensure spaces meet client expectations
Ensure all conference rooms and A/V setups align with client specifications and brand standards
Finalize event details with clients and distribute comprehensive plans to operating departments
Provide business center support services as needed
Generate and distribute end-of-day operational reports
