About The Position

The Concierge team serves as the initial point of contact for residents, guests, and vendors. This role is crucial for supporting daily building operations by managing access, assisting residents through the BuildingLink platform, and maintaining a welcoming atmosphere at the front desk and in the lobby. The ideal candidate should be organized, professional, and comfortable working in a dynamic high-rise environment.

Responsibilities

  • Full working knowledge of the condominium's governing documents and its rules and regulations and of the full-functionality of BuildingLink and other software platforms used to support operations.
  • On arrival, check BuildingLInk for notes, new information concerning issues being followed-up, new announcements.
  • Review reservations and calendars in the BuildingLink for new entries and changes.
  • Open entry doors and greet arrivals.
  • Utilizing BuildingLink/KeyLink protocols for security, check in vendors, deliveries, and guests.
  • Issue parking passes to vendors and guests.
  • Check out keys and log their return.
  • After screening, provide elevator and/or loading dock access as required.
  • Respond promptly to requests and concerns received in person, by phone, email and via BuildingLink.
  • Per protocols, make referrals to the OCM or Facilities Engineer for assistance and/or document the request or concern in BuildingLink.
  • Follow-up via BuildingLInk or otherwise to make sure the matter is being addressed.
  • If needed, inform resident of its status.
  • Monitor security cameras and follow-up incidents observed as provided in security, safety or other protocols.
  • Assist in reviewing recordings when needed.
  • Receive and log packages and other deliveries in BuildingLink to notify residents of their arrival.
  • Keep storage areas organized for quick access to sign out deliveries to residents.
  • Assist residents with facilities and amenities reservations, Permissions to Enter, work orders, fobs, bike/kayak permits, ARC requests, using BuildingLInk and LeakDefense, etc.
  • Provide other concierge services per protocols.
  • Update owner/resident information in BuildingLInk.
  • Coordinate with residents and vendors for all moves into and out of the building.
  • Facilitate the handling of complaints or grievances by responding in a timely and professional manner.
  • Document as required in BuildingLInk and/or Incident Reports.
  • Enter shift notes promptly into BuildingLInk.
  • Prepare Incident Reports when needed.
  • Liaise with the next shift before departing.
  • Maintain a clean, well-organized front desk and a welcoming, orderly lobby.
  • Notify janitorial staff when they are available of issues/items that need immediate housekeeping attention.
  • Otherwise address such issues personally to the extent feasible in their absence.
  • Document facilities issues in BuildingLink and report them to the Building Engineer when available on-site.
  • Follow protocols for after-hours emergencies.
  • As directed, provide assistance to the OCM in scheduling unit access, maintaining records, preparing and/or distributing announcements, updating calendars and tracking RSVPs, monitoring for parking violations, posting hard-copies of notices, conducting fob and storage permit audits, etc.
  • In the absence of the OCM, follow protocols to distribute emergency notifications via Buildinglink as requested by the facilities management company, Board/Committee Chairs or governmental authorities.
  • Keep all on-site staff informed of status.
  • Coordinate them to provide assistance that the facilities management company or governmental authorities request.
  • Perform any work requested that reasonably falls within the qualifications, whether or not specifically described above.
