About The Position

Providing our clients with exceptional service is the foundation of our business. As the Concierge, you’ll be the face of Veritext and will be responsible for welcoming all guests into our offices with a pleasant, respectful, and welcoming demeanor, addressing their needs professionally and ensuring that the environment and all technology are properly working. For the Client Services Representative duties, you’ll be the go-to expert for attorneys and legal teams after the deposition wraps helping them stay on track and ready for court. You’ll handle transcript delivery, troubleshoot issues, manage changes or corrections, and follow up to ensure expectations are exceeded and every client walks away impressed. If you love follow-through, attention to detail, and making sure nothing slips through the cracks, this is your moment.

Responsibilities

  • Act as primary point of contact for all guests of the office (clients, partners and visitors); actively help with logistics and their specific requests, build rapport with them
  • Ensure conference room technology has been set up, pre-tested and is working at least 2 hours prior to the scheduled in-office deposition; adhere to technology protocols for each room
  • Maintain a professional appearance of all conference rooms and client-facing areas (e.g., ensure supplies are refilled and stocked; client areas are clean, tidy and welcoming; chairs and tables are arranged properly)
  • Treat our partners as "key members of our team"; go out of your way for them and ensure they are set up for success
  • Be knowledgeable of and educate clients and partners on Veritext product and services; promote their value, encourage their use, provide assistance, troubleshoot and/or know where to direct the inquiry/escalation
  • Build and maintain strong relationships with and provide support to our trusted partners (reporters, agencies, videographers, interpreters, etc.) and all other outside vendors, as applicable, treating them as valued extensions of our team
  • Respond to all client requests received via email and/or phone queue timely
  • Resolve issues and/or escalate as needed; collaborate with applicable departments and/or colleagues to ensure prompt and accurate resolution
  • Proactively track assignment deadlines, ensuring all tasks are completed on time and any potential delays are communicated promptly to stakeholders
  • Communicate any updates or changes to orders promptly and accurately to partners, ensuring alignment and timely execution of services
