About The Position

The Compliance Administrative Assistant is responsible for coordinating and supporting all licensing, registration, and compliance requirements for Allied Electric across multiple states. This role gathers required documentation, communicates with internal stakeholders and external agencies, tracks deadlines, and ensures all contractor licenses, business registrations, workers’ compensation documentation, and other regulatory requirements are met before and during project execution. When compliance workflows are current, this role will also support general construction administrative duties.

Requirements

  • 2+ years of administrative experience (construction or regulated industry preferred)
  • Strong organizational skills and exceptional attention to detail
  • Ability to manage multiple deadlines across different states and agencies
  • Comfortable researching regulatory requirements and navigating government websites
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Detail-oriented and deadline-driven
  • Proactive follow-up and task management
  • Strong communication and coordination skills
  • Ability to work independently and escalate issues appropriately
  • Ability to quickly adopt and navigate new systems and tools
  • Strong technology proficiency

  • Experience with document management systems preferred

Responsibilities

  • Licensing & Regulatory Compliance Research and track contractor licensing requirements for any state in which Allied Electric operates.
  • Coordinate and prepare applications for: Electrical contractor licenses Business registrations State contractor registrations Municipal licensing requirements
  • Maintain active license status by tracking renewals, deadlines, and continuing education requirements
  • Ensure proper workers’ compensation and insurance documentation is filed in each applicable state
  • Coordinate bonding, certificates of insurance, and compliance documentation as required
  • Maintain compliance files (digital and physical) in an organized and audit-ready format
  • Cross-Functional Coordination Communicate with internal stakeholders (HR, Operations, Finance, Project Management) to gather required documentation
  • Delegate and follow up on required actions to ensure compliance deadlines are met
  • Serve as a point of contact for compliance-related questions
  • Coordinate with external agencies, licensing boards, and government entities
  • Track compliance status for new and upcoming projects
  • Documentation & Administrative Support Construction administrative paperwork
  • Filing, scanning, and document management
  • Assisting with subcontractor compliance documentation
  • Supporting insurance and bonding documentation requests
  • General administrative support as needed
