About The Position

Allied Universal® is hiring a Compliance Administrative Assistant. The Compliance Administrative Assistant will ensure that the local office is meeting all Regulations and United States Department of Transportation (USDOT) with administrative policies, hiring procedures, safety rules and continual employment regulations; responsible for the review of all employee files/records to ensure compliance with state, federal, contract and company policies. The Compliance Administrative Assistant will ensure timely submission of quarterly Transportation Reports for Contract Compliance.

Requirements

  • High school diploma or equivalent
  • Minimum of two (2) years of administrative assistant experience in a professional environment
  • Effective oral and written communication skills

  • Proficiency with Microsoft Office Applications

Responsibilities

  • Responsible for the review of all employee files/records to ensure compliance with state, federal, contract and company policies
  • Maintain compliance records and produce reports for the Project Manager
  • Maintain all company reportable accident/incident reports for USDOT yearly records and filings
  • Maintain drug testing records for USDOT reporting; provides state security licensing guidance site managers as needed and assists with maintaining/filing for current state licenses
  • Review DOT testing data; create schedule for random testing; coordinate with scheduling to ensure physical security coverage during an employee’s absence for testing; ensure testing compliance by scheduling on a regular cadence to prevent scheduling pressure near quarterly testing deadlines
  • Ensure overall contract compliance regarding employee basic and preferred qualifications, screening, training, and licensing
  • Provide backup support for billing process
  • Certified payroll monthly responsibilities
  • Forecast drug testing processes
