As a Complex Procedural Scheduler, you’ll play a vital role in coordinating essential appointments, procedures, and treatments—ensuring every patient receives timely, seamless, and compassionate care. Requirements

  • Post–high school education or vocational training in healthcare.
  • Healthcare or customer service experience.
  • Knowledge of medical terminology.
  • Proficiency with computers and Microsoft Office; ability to learn new software.
  • Exceptional organizational skills, attention to detail, and strong critical thinking abilities.
  • Ability to prioritize tasks, work independently, and thrive in a team environment.
  • Professional verbal and written communication skills, with the ability to support diverse audiences.
  • Strong interpersonal skills with professionalism, tact, and discretion when handling sensitive or confidential information.

Nice To Haves

  • Ability to type 45+ WPM (highly preferred).

Responsibilities

  • Coordinate Patient Scheduling Accurately schedule exams, procedures, surgeries, treatments, and follow-ups according to department and provider guidelines.
  • Communicate exam prep instructions clearly and ensure patients understand next steps.
  • Coordinate multi-step cancer treatment plans, including clinic visits, labs, imaging, infusions, and radiation—sequenced correctly and on time.
  • Support Multidisciplinary Care Schedule pre-surgical appointments, cardiac cath lab, electrophysiology, imaging, and all post-operative visits.
  • Ensure patients have pre-procedural clearances and all necessary paperwork completed ahead of time.
  • Maintain smooth communication between patients, providers, and specialty departments.
  • Operational & Administrative Excellence Coordinate resources to ensure proper use of operating room, EP, and cath lab block time, equipment, and supplies.
  • Support operating room block utilization goals (75% used block time) and release unused blocks per guidelines.
  • Maintain databases, reduce duplicate accounts, and ensure accuracy of patient information.
  • Assist with onboarding and cross-training of new team members.
  • Collaborate with leadership and clinic staff to support daily operations and maintain workflow efficiency.
  • Service & Professional Standards Maintain patient privacy and strict confidentiality in accordance with HIPAA.
  • Communicate professionally, clearly, and calmly—even during periods of high patient volume or stress.
  • Demonstrate reliability, dependability, and consistent attendance.
