About The Position

The Compensation Specialist supports both payroll processing and core human resources operations for a multi-state workforce. This role is responsible for ensuring the accurate and timely processing of payroll, administering employee compensation programs, and maintaining employee data within HR systems. A key component of the position involves analyzing and processing incentive compensation, including bonuses, sales draws, and employee advances. While many calculations are system-generated, the role requires strong Excel skills, analytical ability, and attention to detail to validate data, reconcile compensation calculations, and ensure final pay amounts are accurate.

Requirements

  • Proficiency in HRIS/Payroll Systems: Experience using HRIS and payroll software, such as Paycor, Paychex, or similar.
  • Excel & Data Analysis: Must be able to efficiently manage, analyze, and visualize data using VLOOKUP/XLOOKUP, pivot tables, logic functions (IF, AND, OR), data validation, and advanced formatting.
  • Data Integrity: Exceptional attention to detail to ensure payroll accuracy matches HR records. Ability to balance deadlines and accuracy in a fast-paced environment.
  • Human Resources Skills: High integrity and ability to handle sensitive employee data confidentially. Strong interpersonal, communication and customer service skills
  • Minimum of 3 years of experience with payroll/compensation and/or HR administration experience.

Nice To Haves

  • Bachelor’s degree in Human Resources, Accounting, Business Administration, or related discipline is highly preferred.
  • Experience supporting multi-state payroll and calculating incentive compensation earnings strongly preferred.

Responsibilities

  • Process bi-weekly payroll for 150+ employees in a multi-state environment, ensuring accuracy and compliance with federal and state regulations.
  • Administer payroll deductions, adjustments, and special payments including bonuses, commissions, draws, and employee advances.
  • Support quarterly and annual incentive compensation cycles, reviewing system-generated calculations and reconciling data prior to payroll processing.
  • Utilize the company’s proprietary construction management platform to extract and verify incentive earnings and compensation data.
  • Reconcile compensation reports and validate payroll inputs using advanced Excel tools and data analysis techniques.
  • Administer merit increases, compensation adjustments, and other payroll-related changes.
  • Research and respond to multi-state tax authorities regarding payroll tax discrepancies, delinquencies, penalties, payments, and reporting issues.
  • Assist in monitoring payroll tax filings and supporting documentation.
  • Coordinate new hire onboarding activities, pre-employment documentation, and system entry.
  • Maintain electronic personnel files in HRIS.
  • Process employee lifecycle transactions including job changes, compensation updates, address changes, and terminations.
  • Manage E-Verify processes and I-9 compliance.
  • Enter/update/audit payroll deductions for health insurance, 401(k), and other benefits.
  • Support ongoing and annual open enrollment.
  • Assist employees with benefit education, portal access, and changes in coverage.
  • Prepare reports for internal and external audits.
  • Generate reports related to payroll and HR-metrics.
  • Perform HRIS audits, including PTO usage, timecard review, pay rate validation, and termination pay compliance by state.
  • Maintain office inventory and coordinate with the Purchasing Coordinator.
  • Organize/distribute supplies throughout the office.
  • Manage incoming and outgoing company mail, including preparing shipments via USPS and FedEx.
  • Other related duties as assigned.
