About The Position

UW Medicine’s Dean of Medicine Office of Academic Appointments and Compensation (AAC) is the central, expert-driven academic HR resource serving 31 School of Medicine (SoM) departments and multiple affiliated institutions, including UW Physicians, Children’s University Medical Group, Seattle Children’s Hospital, Fred Hutchinson Cancer Center, and the Veteran Affairs (VA). AAC navigates and applies intricate, multi-layered policies drawn from federal and state laws, University and School rules, and partner institution regulations. The Compensation Analyst role within AAC is a critical position requiring independent judgment, high-level policy interpretation, and seamless coordination across numerous entities with distinct procedural frameworks. This work encompasses the lifecycle of academic personnel administration including compensation determinations, and compliance oversight—while integrating complex inter-institutional relationships and unique operational rules outside of UW systems. The position also involves working with multi-source financial data, ensuring integrity in reporting, and providing expert guidance to leadership and departmental stakeholders. AAC’s advice and guidance directly influences faculty recruitment and retention, sustains cross-institutional collaboration, and safeguards the clinical and educational missions of UW Medicine. The role operates in a high-stakes environment where technical expertise, strategic advisement, and operational excellence converge to support a complex academic medical enterprise. The Compensation Analyst must possess deep organizational knowledge, exceptional analytical skills, and the ability to operate with precision across multiple institutional frameworks. The role is mission critical to sustaining the School’s academic, clinical, and collaborative success. This position will be highly analytical, resourceful, customer-focused, team-oriented, and have the ability to work independently under time constraints to meet deadlines. This position is expected to understand, interpret, and apply appropriate policy, procedure and required HR laws and regulations.

Requirements

  • Bachelor's degree and three years’ experience working with administrative processes.
  • Thorough knowledge of Academic HR policies, procedures, principles and practices.
  • Excellent interpersonal and communication skills (written and oral).
  • Proficient in Microsoft Word, Excel, and PowerPoint.
  • Ability to write effective, useful, and timely documentation.
  • Ability to communicate in a diplomatic, friendly, yet effective manner with SoM leadership, faculty, staff, and central campus offices.
  • Ability to analyze needs, assess potential avenues, and implement creative solutions to ensure a steady flow of high-quality, high-achieving staff.

Responsibilities

  • Evaluate, analyze, and authorize faculty compensation requests to ensure alignment with UW policies, School of Medicine guidelines, and federal and state regulations.
  • Oversee, provide guidance and approve compensation actions for designated department(s): Retentions, Administrative Duty Supplements (ADS), Temporary Pay Supplement (TPS), Monthly Additional Compensation (MAC), Quarterly Additional Compensation (QAC), and Semi-Annual Additional Compensation (SAAC).
  • Primary advisor for the Department's chair, administrators, directors, and departmental staff on all aspects of academic compensation, serving as a trusted partner in interpreting policy and applying best practices.
  • Conduct thorough reviews of faculty total compensation, identify and resolve salary discrepancies. Ensure equity and compliance across designated departments.
  • Transact on faculty HR actions in Workday (the UW HR/P system), and the School of Medicine Change Transaction Memorandum (CTM) following the timelines and expectations of payroll, central campus, School of Medicine and practice plans.
  • Develop resources, templates, and best practices and strategies related to compensation actions.
  • Prepare required documentation to support approval of various compensation actions.
  • Draft and prepare alternate compensation cap approval letters on behalf of the Associate Dean, ensuring clarity, accuracy, and alignment with institutional standards.
  • Oversee the accurate entry and processing of SoM faculty executive compensation, maintaining the highest standards of confidentiality, timeliness, and precision.
  • Act as a compensation subject matter expert within the AHR Shared Services environment, contributing to the design and refinement of workflows and supporting end-to-end compensation processes to promote efficiency and consistency.
  • Collaborate with the Senior Manager to evaluate and implement compensation updates from closely affiliated partners, ensuring alignment with SoM policies and adherence to physician compensation regulations.
  • Under the direction of the Senior Manager, Data Analytics and Compensation, assist with analysis and reporting of comprehensive compensation data to entities external to the SoM ensuring the accuracy and completeness of the data presented.
  • Maintain SoM academic personnel data integrity.
  • Continually analyze, audit, and review data elements within Workday and the SoM Faculty Information System to ensure accuracy of data within both systems.
  • Complete Compensation Cap Analysis and Reporting.
  • Under the direction of the Senior Manager, Data Analytics and Compensation, run monthly compensation cap reports and track issues through to resolution.
  • Produce standard financial summaries, statistical reports, rosters and lists.
  • Assist in the development of additional reports as needed.
  • Provide analysis of data as needed; select datasets; download data; manipulate information using Excel in order to look at trends or respond to specific inquiries.
  • Responsible for other ad-hoc data and analysis requests as needed.
  • Identify and recommend process improvements regarding academic HR processes.
  • Develop, analyze, and revise AAC team guidelines, policies, procedures, training tools, and standard operating procedures, including ensuring that AAC website and communications are kept up-to-date and are consistently reviewed as policies and regulations change.
  • Develop, maintain and continuously improve standard operating procedures for all aspects of work.
  • Develop, analyze, and revise team communication templates which serve to streamline processes and increase consistency in administration of Academic HR.
  • Participate in continuous performance improvement projects and committees.
  • Perform other duties or projects as required or assigned.
  • Review data discrepancies between various systems and work with interested parties to implement changes to clean up the data.
  • Complete special projects for the Senior Manager, Data Analytics and Compensation, director, associate dean, dean and executive leadership.
