About The Position

The Lead Community Support Specialist provides clerical, organizational, and administrative support to assigned work area, greets and routes visitors, answers incoming calls, assists residents with general inquiries, and oversees both the Woodcrest and Burton Court front desk activities while providing exceptional customer service. Requirements

  • High school diploma or GED with associate’s degree in business preferred.
  • At least 7 years of front desk or administrative assistant experience in a high-volume environment inclusive of lead or supervisory experience.
  • Proficiency in Microsoft Office products such as Outlook, Excel, Word, etc., with additional experience in guest and resident management software strongly preferred.
  • Professional and grammatically correct verbal and written communication skills across multiple generations
  • Ability to successfully prioritize and manage multiple projects, assignments, and deadlines
  • Demonstrated ability to work effectively and efficiently with minimal direct supervision
  • Demonstrated excellent customer service skills

  • Desire to work closely and patiently with seniors and their families

Responsibilities

  • Serves as the first face of Blakeford by warmly greeting visitors to the community, ensuring use of the building’s sign-in systems, providing clear direction to desired areas of the building, and ensuring guests sign out when leaving.
  • Answers incoming calls to the community, routes to the appropriate extension, and takes complete and detailed messages when needed while ensuring information gets to the intended recipient in a timely manner.
  • Provides clerical and administrative support such as event sign-ups, fax or mail services, activity details, general inquiries, etc., to residents and team members with accuracy, timeliness, and consistency.
  • Facilitates open lines of communication within the assigned program area and the larger Blakeford Senior Life community by providing effective and efficient customer service whether by phone, written communique, email, or face-to-face interactions with residents, team members, and visitors and cascading information as appropriate.
  • Interacts with co-workers, physicians, residents, and other customers in such a manner which creates and maintains a harmonious working environment, enhances the image and reputation of the Company, and promotes positive customer relations.
  • Assists with training newly hired Community Support Specialists as well as providing on-going training for current staff.
  • Monitors work performed at the Woodcrest and Burton Court desks for adherence to departmental SOPs, provides on-going informal coaching to correct deviations, and escalates on-going concerns to supervisor as needed.
  • Coordinates coverage for the Woodcrest and Burton Court desks for periods of high workload or absences, whether planned or unplanned.
  • Ensures the rights, dignity and confidentiality of all residents are maintained and escalates concerns to supervisor as appropriate.
  • Provides support and coverage to other program areas during times of heavy workloads or absences as directed.
  • Performs assigned tasks and responsibilities in accordance with departmental standard operating procedures, regularly reviews SOPs for applicability, and makes proactive recommendations for updates as work and processes evolve.
  • Performs other duties as assigned by the Executive Assistant
