About The Position

The Community Placement & Events Coordinator supports the Community Placement & Events Manager in creating meaningful adoption opportunities for pets and fosters to find future adopters. They plan, coordinate, and execute volunteer-led adoption events and community placement programs. The Community Placement & Events Coordinator serves as the front-line coordinator for adoption event coordination and execution. Some of their responsibilities include establishing and maintaining strong reciprocal relationships with current fosters and on-site volunteers to increase overall buy-in and marketing needs for adoption promotion, assisting with the processing of event requests and providing support and or coverage across APA! campuses. The Community Placement & Events Coordinator plays a key role in advancing the goals of APA!’s customer experience program. This position contributes directly to APA!’s mission to increase the live release rate across Texas by supporting a sustainable, inclusive, and high-impact model for event coordination. The Community Placement & Events Coordinator is responsible for managing their daily responsibilities, maintaining clear priorities, and delivering consistent, high-quality work that aligns with APA!’s values and goals. This includes staying organized, using data or feedback to inform decisions, and following through on key tasks and responsibilities with minimal oversight. This is a hands-on, mission-driven role focused on results, reliability, and teamwork. APA! is a volunteer-powered organization, so every staff member is expected to work alongside and support volunteers. The Community Placement & Events Coordinator collaborates closely with volunteers to complete day-to-day tasks, helps create a positive and inclusive environment, and actively contributes to a culture of shared effort and mutual respect. This position may involve shift flexibility, weekend hours, and responsiveness during times of high need. Every individual at APA! is responsible for working in collaboration with volunteers; making sure volunteers are recruited, trained and feel impactful through their efforts at APA!. A core part of this role is creating a welcoming and empowering experience for volunteers, including assisting with onboarding, training, and volunteer engagement as part of the day-to-day workflow.

  • Prolonged periods of sitting at a desk and working on a computer

  • Must be able to comfortably interact with animals of various health levels, including animals who may carry zoonotic diseases such as ringworm, scabies, intestinal parasites, etc.
  • Some of the work for this position requires moderate strenuous physical activity. Must be able to be on your feet for multiple hours of the day
  • Must be able to visually observe people and animals from up to 150 feet away
  • Ability to hear normal speech at close contact and shouting up to 150 feet away
  • Must be able to walk around shelter as needed - uneven ground, keeping a safe distance from dogs and handlers
  • Will sit, stand, walk, talk, hear, stoop, bend, stretch, squat, kneel, grasp, grip, put fingers together firmly and reach above and below shoulder level, lift and/or carry up to 30 pounds and push and pull up to 50 pounds for situations of moving supplies and setting up for events; repetitively use hands to operate computers; flex the neck upward and downward; twist the neck and the waist.
  • Must be able to remain active throughout the day and navigate all areas inside and outside of the Tarrytown adoption center, which includes steps and narrow areas.

Responsibilities

  • Actively contribute to a volunteer-powered culture by partnering with volunteers during every shift and helping create an inclusive, welcoming environment
  • Work alongside volunteers to complete daily tasks, ensuring the work is shared and collaborative—not siloed
  • Support the recruitment and onboarding process by welcoming new volunteers and helping them get oriented to the program
  • Help retain volunteers by offering encouragement, guidance, and feedback during shared work
  • Recommend strong volunteers for deeper involvement or specialized roles to your supervisor or volunteer manager
  • Contribute to a positive culture by recognizing volunteer contributions through appreciation, gratitude, and shoutouts
  • Help set volunteers up for success by clearly explaining tasks, providing hands-on guidance, and offering in-the-moment support
  • Recruit, coordinate and lead a team of volunteers to host and staff adoption events to host a minimum of 4 off-site adoption and community engagement events a month
  • Support volunteer leads at adoption events and community placement sites.
  • Build strong relationships with fosters and volunteers to encourage participation.
  • Coordinate training and placement of volunteers in roles for events and community placements
  • Support and coach volunteer leads for events and community placement sites
  • Establish and maintain rapport with Fosters and On-site Volunteers to secure staffing for Community Events
  • Utilize multiple communication channels, including email, text messaging, and phone calls, for effective correspondence.
  • Determine what animals are eligible and ideal for attendance at Adoption Events
  • Support the Community Placement and Foster Program Manager in identifying ways to build foster community relationships
  • Coordinate foster appreciation projects with the support of the Community Placement and Foster Program Manager
  • Strategize with the Community Placement & Events Manager to ensure a wide breadth of opportunities for pets to get visibility for adoption
  • Process adoptions electronically while at Adoption Events and on-site
  • Transport pets and materials to and from Adoption Events as needed
  • Plan 2 onsite events per month at TLAC/TT and at least 4 offsite events each month
  • Act as a consultant for interested Adopters to match them with a well-suited pet at adoption events
  • Aid in the development and expansion of community placement partnerships through exceptional customer service and site-specific adoption goal ownership
  • Work with the cat placement team and Community Placement and Foster Program Manager to identify cats eligible for off-site/community placement
  • Coordinate established volunteers and community placement locations in support of the Community Placement and Foster Program Manager
  • Support established volunteers and volunteer community placement site leads
  • Aid in the development of off-site partnerships through exceptional customer service and care
  • Gather and maintain data to track event success and areas for growth
  • Support in the establishment and implementation of operational tools with the aim of easing processes related to Community Placement and Events
  • Work with the marketing team to promote and design advertising and other marketing templates for Adoption Events
  • Maintain an internal calendar of events happening on and off-site
  • Maintain a tracking sheet of community event opportunities and their statuses
  • Must demonstrate dependability, accountability, time management, use of reasoning, and good judgment skills
  • Attend and participate in all required training sessions and meetings
  • Maintain open and consistent communication with Program Manager or designee, supervisor, and other colleagues
  • Partner with Volunteer Managers to learn about the volunteer programs and support volunteers interested in your department on an ongoing basis
