About The Position

This is a full-time, non-exempt level position in Mountain View, California. HYBRID WORK SCHEDULE SVCF operates on a hybrid work model. Some teams work onsite in the Mountain View office twice per week, while others work in the office twice per month. This position is currently part of a team that is scheduled to work onsite twice per week. This role will also occasionally be required to support off-site meetings and events. Please note that there may be occasions when additional in-office days are required to support critical meetings, assignments, or events. SVCF also reserves the right to modify its hybrid work schedule as needed. All SVCF team members must be based and hold residency in California. JOB SUMMARY The Community Impact and Policy Division spearheads the foundation’s strategic grantmaking, convening, and policy initiatives across San Mateo and Santa Clara counties, working collaboratively with a broad range of stakeholders to drive meaningful change in the region. Reporting to the Senior Operations Manager, the Associate provides coordination, administrative execution, and operational support across all Community Impact & Policy functions. This role supports grantmaking processes, convening logistics, policy operations, vendor coordination, systems documentation, and division-wide workflow improvements. The Associate ensures tasks are completed accurately, on time, and aligned with SVCF procedures. The Associate is an integral contributor to the division’s infrastructure—supporting workflows, improving documentation, coordinating logistics, and helping maintain effective internal systems.

Requirements

  • Two years of experience in operations, project coordination, grantmaking support, nonprofit administration, or related roles.
  • Alignment with SVCF’s mission, values, and commitment to equity.
  • Strong organizational skills and ability to manage multiple tasks with accuracy and attention to detail.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to collaborate effectively with diverse colleagues and partners.
  • Experience with scheduling, event logistics, document preparation, or workflows preferred.
  • Comfort working Microsoft Office, data systems, spreadsheets, and tracking tools; Salesforce experience a plus.
  • Ability to work independently while knowing when to seek guidance or escalate issues.
  • Commitment to continuous learning, process improvement, and operational excellence.

Responsibilities

  • Support division-wide planning efforts by coordinating calendars, preparing documentation, and supporting meeting logistics.
  • Assist with tracking operational needs, follow-up items, and deadlines across grantmaking, convenings, and policy work.
  • Help document processes and support change management activities through materials preparation and tracking updates.
  • Provide research, scheduling, and administrative support for cross-departmental and cross-division coordination efforts.
  • Work closely with CIP staff to respond to operational needs and provide excellent service to internal and external partners.
  • Support cross-team knowledge sharing by maintaining organized files, templates, and shared resources.
  • Contribute to a positive, collaborative, solutions-oriented team culture.
  • Support execution of grantmaking workflows, including application intake, document collection, data entry, compliance checks, and communications with non-profits and grantees.
  • Prepare grant files, update tracking tools, and assist in generating reports for internal use and leadership review.
  • Assist in maintaining templates, guidelines, and procedural documentation.
  • Support coordination between CIP, Grants Administration, IT, and Finance teams.
  • Help troubleshoot routine grantmaking process issues and escalate as needed.
  • Coordinate logistics for virtual and in-person convenings, meetings, workshops, and public events.
  • Support scheduling, invitations, RSVPs, participant communications, and preparation of meeting materials.
  • Assist with venue coordination, catering arrangements, technology setup, and day-of event support.
  • Maintain event documentation and support evaluation/data collection.
  • Assist in logistics, documentation, and scheduling for policy and advocacy initiatives.
  • Support legislative tracking coordination, meeting preparation, and maintenance of policy-related systems.
  • Prepare or format briefing materials, agendas, slide decks, and communications.
  • Maintain accurate internal files and ensure timely updates to policy documentation and workflows.
  • Assist with vendor coordination, including preparing purchase requests, processing invoices, and tracking deliverables.
  • Support expense tracking, budget documentation, and routine fiscal processes.
  • Maintain financial and procurement documentation in alignment with organizational standards.
  • Prepare summaries, spreadsheets, and routine reports as requested by the Senior Manager.
  • Other related duties as assigned.
