We need a highly organized, detail-oriented team member who enjoys being hands-on and bringing events to life. This role supports the planning and execution of meetings, events, and internal communications initiatives. You're a pivotal support team member and must be comfortable diving into a multitude of tasks and "to do" lists. This is a great opportunity for someone who thrives behind the scenes, enjoys hospitality-style service, and takes pride in making sure every detail is executed flawlessly. Please note - this is a full time, on site role.

Requirements

  • Experience in event coordination, hospitality, administrative support or a related field
  • Strong organizational and time-management skills
  • Exceptional attention to detail and follow-through
  • A dependable team player with a positive, can-do attitude
  • Basic creative skills, including familiarity with simple design tools
  • Strong written and verbal communication skills
  • Ability to work independently while following established processes

Nice To Haves

  • Experience assisting with meetings, conferences or events
  • Bilingual ( English / Spanish) communication skills

Responsibilities

  • Support the planning and execution of meetings and events under the direction of the Communications lead
  • Assist with events logistics, timelines, materials, and vendor coordination
  • Assist with maintaining event documents, checklists, and schedules
  • Communicate with vendors to confirm details, track deadlines, and manage follow-ups
  • Ensure all assigned event-related materials are accurate, complete, and delivered on time
  • Provide on-site support for meetings and events as needed
  • Assist with creative projects in collaboration with the Communications & Marketing team
  • Coordinate with internal teams to gather information and confirm details
