About The Position

Public Rights Project (PRP) is a national nonprofit organization that helps local government officials fight for civil rights. We build their capacity to protect and advance civil rights, convene and connect them on key issues, and provide legal representation to help them win in court for residents. Since its founding in 2017, PRP has recovered significant financial relief for marginalized people; built a nationwide network of government offices, elected officials, and community-based organizations; trained prosecutors and government lawyers across the country; and secured court victories on rights for abortion, immigrants, workers, and voting. We seek to hire a Communications Coordinator who will provide executive support to PRP’s Chief Communications & Marketing Officer, help manage projects and priorities across the Communications & Marketing team, and contribute to research, content preparation, and logistics planning for department initiatives. The ideal candidate will bring strong organizational and task management skills, clear writing abilities, experience supporting senior leaders, and comfort working in a fast-paced, mission-driven environment.

Requirements

  • A bachelor’s degree in English, communications, marketing, or a similar field preferred, or the equivalent years of relevant work experience.
  • Two (2) to three (3) years of experience, ideally supporting communication leaders and/or senior executives in nonprofit, philanthropy, government, or advocacy settings.
  • Experience with executive support preferred, with demonstrated accuracy and attention to detail.
  • Strong written and verbal communication skills.
  • Exceptional organizational and planning skills.
  • Excellent project and task management skills, with the ability to coordinate multiple projects and work streams across teams with accuracy and attention to detail.
  • Demonstrated ability to quickly execute administrative tasks in support of larger team goals.
  • Experience delivering high-quality written content and producing results on tight timelines.
  • Experience managing competing deadlines with discretion and sound judgment.
  • Comfort with both following instructions and taking initiative in a remote setting where priorities often shift and ambiguity is common.
  • Ability to conduct research and provide analysis.
  • A highly resourceful nature and “no task too small” mindset.
  • High level of confidentiality and tact, with a strong sense of accountability and professionalism.
  • Strong proficiency in Microsoft office, G-Suite, Salesforce, Asana, and Zoom.
  • A belief in the power of state and local government to make positive change in the world.
  • A passionate commitment to economic, racial, gender, and environmental justice.

  • Prior experience with event planning and travel logistics is a plus.

Responsibilities

  • Provide high-level administrative support to the Chief Communications & Marketing Officer (CCMO), including scheduling, compilation of accurate briefing documents and preparation of agendas, presentations, and other meeting materials.
  • Anticipate executive needs and proactively manage calendaring, incoming and outgoing communications, and workflow challenges.
  • Collaborate across departments and teams to provide the CCMO with background information, research, and success metrics for expedient reviews and decisions.
  • Help prioritize communication and collaboration with senior staff and external stakeholders, summarizing and following up as appropriate while maintaining discretion and tact.
  • Disseminate action requests to others on the CCMO’s behalf in a fast-paced environment, tracking deadlines, providing reminders, and following up on delegated tasks.
  • Coordinate CCMO travel, accommodations, expense processing, and logistics for internal and external meetings, including department events, PRP gatherings, and conferences.
  • Support invoice processing, manage expenses and reimbursements, and perform other administrative tasks as needed.
  • Set up Asana projects and tasks for CCMO priorities and other key department initiatives, ensuring an effective and efficient workflow.
  • Support special projects aligned with organizational and departmental strategic priorities, including knowledge management, priorities tracking, and cross-team collaboration.
  • Move the organization's messaging projects forward by tracking timelines, managing feedback and review processes, and keeping work on shared messaging guidance and standards on schedule across teams.
  • Provide planning and logistical support for thought leadership, such as support for speaking engagements, executive communications, blogs, LinkedIn visibility, and other external-facing opportunities.
  • Foster effective and collaborative working relationships across all teams to keep projects, deadlines, materials, and follow-up items on track.
  • Support coordination of time-sensitive projects and rapid-response efforts with flexibility and sound judgment.
  • Partner with the CCMO, the Director of Communications, the Director of Editorial & Branding, and the broader department to ensure seamless operations and information flow.
  • Identify opportunities to improve workflows, systems, and project management processes across the Communications & Marketing team.
  • Maintain and monitor deadlines and progress updates for the CEO communications calendar, the speaking engagements calendar, the conference list, and more.
  • Attend and document department and team meetings, ensuring timely follow-up on action commitments.
  • Support content development by researching, writing, reviewing, and proofing materials.
  • Support travel and logistics planning for department retreats, team gatherings, and other internal events.
  • Organize and maintain lists and files for branded swag, photos and videos, and other Communications & Marketing assets.
  • Other duties as assigned.
