About The Position

The Communications Administrator serves as the central hub for office communications, marketing administrative coordination, and front-office operations. This role acts as the first point of contact for internal and external inquiries, ensuring efficient routing of communication, smooth office operations, and support for company-wide administrative and marketing logistics. Location: Onsite; Phoenix, IL

Requirements

  • High school diploma required, Associate degree in Communications, Marketing, Business Administration preferred.
  • 2+ years of experience in event planning, trade show coordination, or marketing support
  • Strong project management and organizational skills with attention to detail
  • Excellent written and verbal communication skills
  • Ability to manage multiple events and deadlines simultaneously
  • Comfortable working cross-functionally and independently

Responsibilities

  • Serve as the primary point of contact for incoming calls across all locations, acting as a “gatekeeper” by asking appropriate questions and directing calls to the correct person or department
  • Manage the front desk by greeting visitors, answering the door, and ensuring all guests are signed in and accounted for
  • Notify employees upon visitor arrival and ensure a professional, welcoming experience
  • Coordinate NDAs for visitors when required and maintain digital records
  • Manage conference room calendars and scheduling
  • Open, stamp, sort, scan, and distribute all incoming mail to appropriate departments
  • Sign for and distribute packages delivered to the main office
  • Create and manage FedEx/UPS shipping labels for all departments, including return labels for equipment and employee offboarding
  • Package, weigh, and measure shipments to ensure accurate carrier charges
  • Coordinate carrier pickups or drop off shipments to optimize cost efficiency
  • Review and approve all FedEx/UPS invoices for accuracy
  • Support outgoing mail processes, including certified mail as needed
  • Order and maintain office supplies for multiple locations, including Phoenix, Downers Grove, and remote sites
  • Create purchase orders in NAV and receive/post goods upon arrival
  • Coordinate PPE for visitors and factory tours, including setup, sanitization, and inventory management
  • Assist with facility-related needs such as kitchen supplies and general office upkeep
  • Maintain nameplates, signage, and workspace identifiers as needed
  • Manage and update SWAG inventory in LionShare
  • Fulfill SWAG orders submitted through LionShare
  • Manage fulfillment and shipment of CLT samples for Structural team
  • Provide general administrative support across departments as requested
  • Plan and coordinate all trade shows, conferences, and industry events for both Site Access and Structural brands
  • Manage event timelines, budgets, contracts, and logistics (booth space, shipping, travel, accommodations)
  • Maintain event calendars, planning documents, and post-event recaps
  • Support lead administration and organization post show
  • Coordinate booth design, signage, materials, and promotional items
  • Help marketing team to support lead nurturing campaigns pre- and post- show
  • Serve as the point of contact for event execution and troubleshooting
  • Manages vendors and stock for promotional giveaways
  • Track event performance, leads, and post-event follow-up needs
  • Help plan and coordinate internal meetings, events, and leadership gatherings
  • Manage scheduling, logistics, and communications for facility tours and visits
  • Creates internal signage as necessary
  • Prepare agendas, materials, and day-of coordination support
  • Consistently demonstrate commitment and support for the Sterling vision, mission, policies and procedures.
  • Performs work in compliance with work instructions and policies as outlined by management.
  • Foster a culture of innovation, teamwork, customer-centricity, and compliance.
  • Cultivate strong partnerships with cross-functional teams to support departmental needs and overall business goals.
  • Cross train within the team, and across other departments, to provide backup support throughout the department.
