About The Position

The Commercial Sales & Operations Coordinator supports a core revenue-generating segment of the company by ensuring organized execution of bids and active opportunities while helping implement scalable systems, including the company’s new CRM platform. This high-impact, internally focused role maintains visibility across the commercial pipeline, supports structured workflow coordination, and enables continued growth through disciplined execution.

Requirements

  • 2+ years experience in sales coordination, project coordination, operations support, or executive support
  • Strong organization skills and attention to detail
  • Comfortable adopting and learning new software platforms (ClickUp experience a plus)
  • Clear and professional written communication skills
  • Ability to manage multiple priorities in a deadline-driven environment
  • Demonstrated initiative with ownership mindset

Nice To Haves

  • Experience in construction, building materials, or commercial sales environment
  • Familiarity with CRM or workflow management platforms

Responsibilities

  • Commercial Communication & Workflow Coordination
  • Manage high-volume commercial email communication and prioritize revenue-critical requests
  • Maintain organized digital filing and documentation standards
  • Track outstanding quotes, pricing requests, and follow-ups
  • Draft and prepare communications for review as needed
  • Ensure timely routing of information across internal teams
  • Bid & Opportunity Coordination
  • Maintain master bid calendar and deadline tracking
  • Coordinate collection of pricing, takeoffs, and supporting documentation
  • Assemble and finalize proposal packages for submission
  • Track active bids, rebids, and follow-up timelines
  • Maintain real-time visibility into pipeline status
  • CRM Implementation & System Management (ClickUp)
  • Support implementation and ongoing administration of the company’s CRM platform (ClickUp)
  • Enter, update, and maintain accurate opportunity data
  • Assist in migrating existing tracking tools into CRM workflows
  • Support development and documentation of standardized processes
  • Maintain CRM as the commercial team’s single source of truth
  • Operational Planning & Execution Support
  • Prepare daily and weekly priority summaries
  • Maintain dashboards and reporting visibility for active opportunities
  • Document repeatable bid workflows and process standards
  • Identify workflow gaps and recommend efficiency improvements
