About The Position

At By the Yard, we design and build maintenance-free outdoor furniture that's made to last. Our commercial sales team works with distributors, hospitality groups, and businesses nationwide-- and they rely on strong administrative support to keep everything moving. As a Commercial Sales Administrative Assistant, you will be the go-to person for coordinating events, preparing sales quotes and presentations, managing communications, and keeping systems running smoothly. This is a fast-paced, collaborative role that supports meaningful business relationships and contributes to our growing national footprint.

Requirements

  • One to three years of experience in administrative support, customer service, or sales coordination
  • Excellent communication skills, strong attention to detail, and a proactive mindset
  • Ability to stay organized and shift priorities in a dynamic, fast-moving environment
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook 365
  • Familiarity with CRM or ERP systems such as HubSpot and Acumatica preferred
  • A background in business, marketing, or design is a plus
  • High school diploma or equivalent

Responsibilities

  • Support the commercial sales team in day-to-day operations, both in-office and in preparation for events
  • Assist with scheduling, logistics, and coordination for trade shows and customer lunch-and-learns
  • Prepare sales quotes and orders using Acumatica based on input from the sales team
  • Create PowerPoint presentations and sales materials to support customer meetings and events
  • Monitor team inboxes and respond to inquiries promptly and professionally
  • Enter and maintain accurate contact and lead data in HubSpot, updating workflows as needed
  • Help with product sample requests, line drawings, mailings, and catalog fulfillment
  • Maintain the commercial team's shared calendar and event schedule
  • Provide occasional support to the retail showroom team during absences or special events
  • Collaborate with internal departments and external partners to keep projects moving forward
