Purpose: The Commercial Loan Servicing Manager is responsible for managing the Commercial Loan Servicing Processors and the Documentation Specialists. Major responsibilities of the team include booking loans and all post-closing loan functions, all functions related to providing payoff letters and processing paid loans for the Commercial and Small Business portfolio, and all functions related to managing and maintaining the Collateral File Room. Essential Functions: Continuously monitors and evaluates the Commercial Loan Servicing Processors progress in relation to booking and next day review of new Commercial and Small Business loans to ensure proper procedures and timeframes are followed. Reviews Commercial and Small Business loan documentation for compliance with regulations, federal and state laws, lending policies, lien perfection requirements and reports exceptions to management. Ensures the prompt follow-up on all disclosure, documentation and underwriting deficiencies identified in the post-closing review process or by internal and external review groups regarding Commercial and Small Business loans. Recommends and implements cost-effective procedures that will ensure timely and accurate follow-up on all Commercial and Small Business post-closing deficiencies. Provides management reports that include aged items that detail the status of all post-closing deficiencies. Identify critical systemic and individual performance matters and initiate constructive feedback to Commercial and Small Business processing centers and closing agents. Support the ongoing growth of the commercial portfolio and act as primary operations contact for interactions among the various locations. Supervise daily activities of the Documentation Specialists to include filing of loan documents in the appropriate files, acting as custodian to track location of all collateral loan files, image loan documents as required under policy and procedures, labeling of new loan files, processing of paid loan files, imaging of loan related documents under proper indexing number, perform annual inventory of all collateral files. Maintain control over loan files including notes and all collateral documentation. Ensure staff image documents appropriately and corrects any issues that are noted via training and re-imaging. Maintain control over cash collateral bags as they are transported to and from premises of the Loan Servicing department. Designs and maintains written procedures for all processes and functions to improve the efficiency and effectiveness within the department. Maintains knowledge of policies and procedures and strictly adheres to established procedures. Assures that as changes in procedures occur, they are documented and communicated to staff, including training and understanding of changes. Maintains risk controls (SOX) by regularly tracking and reviewing required documentation. Performs personnel performance reviews, sets goals, and recommends new hires, terminations, and salary increases. Respond to internal or external customers on complex inquiries or problems with loan accounts, while delivering the highest level of customer services to customers, branches and departments. Promote a high level of professionalism among staff. Provide leadership through superior example and by implementing, executing and supporting management decisions. Promote a cooperative and congenial working environment. Manages cash collateral pricing report on a monthly basis, including verification of 5% of all records to ensure proper margins and collateral values. Distributes to appropriate bank personnel according to loan type. Perform monthly reconciliations of all swap loans, ensuring accuracy between JHA and counterparty, releasing reset notices and creating valuation reports upon request.
