The role: We're looking for a sharp, organized, and service-minded Project Assistant to support our project management team from preconstruction through closeout. You'll be the operational backbone of your project team, keeping documentation tight, subcontractors on track, and project managers focused on what only they can do. This is a hands-on support role. The ideal candidate is adaptable, proactive, and takes genuine pride in making a team run better. No task is too big or too small.
Requirements
- Experience in construction, project coordination, or a related administrative role
- Strong organizational and multitasking skills in a fast-paced environment
- Excellent written and verbal communication
- High attention to detail and follow-through
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Positive, team-first attitude, you thrive supporting others
- Ability to handle confidential information with discretion
Nice To Haves
- Experience with construction management software a plus (ProjectSight, Vista, or similar)
Responsibilities
- Manage project documentation across all phases, contracts, submittals, permits, insurance, compliance records, and closeout packages
- Process subcontracts, purchase orders, and change orders in Vista; maintain project data in ProjectSight
- Coordinate site logistics during project startup (utilities, trailers, permits, bonds, licensing)
- Track and follow up on subcontractor documentation, invoices, and insurance certificates
- Support financial administration, review project costs, verify invoice accuracy, reconcile documentation
- Assist with project closeout: warranty logs, punch lists, landlord deposits, and closing summaries
- Respond to field inquiries from superintendents, subcontractors, and vendors; escalate issues to the PM as needed
